Executive cum Personal Assistant to Managing Director Full-time, Permanent – House of Jindal​ Position overview -The Executive cum Personal Assistant will provide high-level strategic and administrative support to the Managing Director, combining executive office management with personal and household coordination. The role demands exceptional organization, confidentiality, and proactiveness to manage complex schedules, sensitive information, and diverse tasks across professional and personal domains.​ Key responsibilities Manage the MD’s comprehensive calendar, resolve scheduling conflicts, and coordinate meetings with internal and external stakeholders.​ Arrange board meetings, investor and client meetings; prepare agendas, presentations, minutes, and track follow-up actions.​ Plan and execute domestic and international travel (business and personal), including visas, tickets, accommodation, itineraries, and expense tracking.​ Screen, prioritize, and respond to emails and calls; draft professional correspondence and maintain organized digital and physical filing systems.​ Prepare high-quality PowerPoint presentations, reports, and summaries using business data, market research, and financial inputs.​ Track key projects and deliverables for the MD, maintain dashboards, and coordinate with departments to ensure timely updates and closures.​ Manage vendor and stakeholder relationships, including negotiating and coordinating contracts, services, and household vendors.​ Oversee personal calendar, appointments (medical, wellness, legal, financial), and reminders for the MD and family as required.​ Coordinate household logistics, property maintenance, staff schedules, personal errands, bill payments, and basic bookkeeping.​ Support planning and coordination of personal events, social engagements, and family functions.​ Maintain absolute confidentiality on all business, financial, and personal matters; sign and adhere to NDAs.​ Qualifications and experience Bachelor’s degree in Business Administration, Management, or related field, or equivalent professional experience.​ 3 years of experience supporting C-level leaders such as CEO, MD, CFO, or COO in a fast-paced environment.​ Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook), Google Workspace, project management tools (Asana/Monday.com or similar), and video conferencing platforms.​ Strong written and verbal communication skills with proven ability to draft professional documents and summaries.​ Demonstrated capability in multitasking, time management, and maintaining high attention to detail.​ Proven track record of handling highly confidential information with discretion and sound judgment.​ Flexibility to work extended hours and adapt to changing priorities as per the MD’s schedule.​ Desirable profileExperience in sectors like startups, manufacturing, renewable energy, real estate development, or hospitality.​ Familiarity with financial management or budgeting tools, and basic understanding of compliance, HR processes, or business law.​ Experience managing multiple properties or international logistics and exposure to luxury travel/hospitality bookings.​ Multilingual abilities (e.g., English, Hindi, Arabic) and strong digital/tech savviness.​ Core competencies and work styleExecutive presence, emotional intelligence, and strong relationship-building skills with internal and external stakeholders.​ Proactive, solution-oriented mindset with strong problem-solving skills for logistical and operational issues.​ High adaptability to ambiguity, pressure, and frequent changes, while maintaining accuracy and composure.​ Discreet, trustworthy, humble, collaborative, and consistently reliable in follow-through and quality of work.​ Working conditions, performance and compensation Standard hours: approx. 9:00 AM – 6:00 PM, Monday–Friday, with regular flexibility and travel (about 20–30% annually).​ Performance measured on schedule accuracy, response time, quality of documentation, stakeholder feedback, confidentiality, and proactive contributions.​ Competitive base salary with performance bonus eligibility, health insurance, retirement benefits, leave as per policy, training support, and business travel benefits.
