Sea & Air Import Documentation Executive

Job Summary:

The Sea & Air Import Documentation Executive is responsible for handling all documentation and compliance related to sea and air import shipments. This role ensures timely processing of import documentation, customs clearance, and coordination with relevant stakeholders to facilitate smooth import operations. The executive will work closely with shipping lines, airlines, freight forwarders, customs brokers, and internal teams to ensure compliance and efficiency in the import process.

Key Responsibilities:

1. Documentation Handling

  • Prepare and verify import documents such as Bill of Lading (B/L), Airway Bill (AWB), Commercial Invoice, Packing List, Certificate of Origin, and other regulatory documents.
  • Ensure compliance with international trade laws, customs regulations, and industry standards.
  • Coordinate with suppliers, shipping lines, and airlines to obtain and validate required documentation.

2. Customs Clearance & Regulatory Compliance

  • Work closely with customs brokers and freight forwarders to ensure smooth and timely customs clearance.
  • Submit necessary documents to customs authorities and regulatory bodies as per import regulations.
  • Address any discrepancies in import documentation and take corrective actions to prevent delays.
  • Stay updated on changes in customs laws, tariffs, and import duties.

3. Shipment Coordination & Tracking

  • Track shipments via sea and air, ensuring timely arrival and delivery.
  • Liaise with shipping lines, airlines, and transport providers to manage schedules and delays.
  • Communicate with internal teams (warehouse, logistics, accounts) for smooth cargo handling and invoicing.

4. Record Keeping & Reporting

  • Maintain organized records of all import shipments and documentation for audit and reference purposes.
  • Generate periodic reports on import shipments, costs, clearance status, and any delays.
  • Identify process gaps and suggest improvements for better efficiency.

Key Skills & Qualifications:

Currently working in a CHA handling Import Customs Doc work

Knows how to read the Customs Tariff, Notifications , Exemptions etc

Can communicate and liaise with importers, clients, s.lines, airlines , Branches , overseas agents etc..

File checklists and submit Bill of Entries. Knows and understands ICEGATE operations and functioning

Has handled multiple types of docs including Bond and Project cargo shipments

Salary Negotiable

Can read, write and speak English.

Lives nearby or on Western Line

Handle Multiple documents and work under pressure
