Operations & Administration (a) Oversee day-to-day property management operations.(b) Maintain accurate property records, leases, and financial reports.(c) Ensure compliance with local, state, and legal regulations.(d) Ensure compliance with safety, zoning, and environmental regulations.(e) Stay updated on market conditions, rental rates, and commercial real estate trends.(f) Advertise vacant properties and hiring a leasing agent (if needed) to find tenants(g) Meet potential tenants, showing them the property and assessing their requirements(h) Conduct tenant screening, background checks, and finalize lease agreements.(i) Market and lease commercial spaces to businesses and organizations.(j) Negotiate lease terms, renewals, and termination with tenants.(k) Investigate and resolve property complaints & rental violations. Tenant Relations (a) Build and provide a communication platform for tenants.(b) Handle tenant inquiries, complaints, and requests in a professional manner.(c) Enforce lease agreements, policies, and rules.(d) Build strong tenant relationships to support retention and minimize vacancies.(e) Manage lease renewals, terminations, and move-in / move-out processes. Financial Management: (a) Collect rent, deposits, and other fees in a timely manner from tenants / individual owners(b) Track expenses and monitor property cash flow.(c) Recommend rent adjustments based on market analysis.(d) Ensure timely payment of utilities, taxes, insurance premiums, and vendor invoices.(e) Recommend capital improvements to enhance property value. Maintenance & Vendor Management: (a) Schedule and supervise repairs, maintenance, and inspections.(b) Negotiate and manage contracts with service providers, contractors, and vendors.(c) Ensure property safety, cleanliness, and compliance with building codes.(d) Periodic / Regular monitoring & inspecting properties and arranging for repairs / modifications(e) Implement preventive maintenance programs. Reporting & Communication: (a) Prepare budgets, forecasts, and monthly performance reports.(b) Prepare reports on occupancy, financial performance / status, expiring leases and maintenance activities.(c) Suggest improvements to enhance property value and tenant satisfaction.
