Job Title: Sales Admin Executive โ Pest Control Department: Sales Administration / Back Office Support Reports To: Sales Manager / Operations Head Location: Office-based (with occasional coordination with field team) Key Responsibilities:๐ 1. Lead Management & Coordination Receive, record, and assign incoming leads from various sources (calls, website, WhatsApp, Facebook, Just Dial, India MART, etc.). Assign leads to field sales executives or technicians based on location and availability. Follow up with sales team for lead updates and status. ๐ 2. Customer Communication Call and follow up with prospective and existing customers to confirm appointments, feedback, and service updates. Send quotations, service reports, invoices, and agreements to clients via email/WhatsApp. Answer basic queries about pest control services, charges, and processes. ๐งพ 3. Documentation & Record-Keeping Maintain proper records of inquiries, site visit reports, quotation follow-up sheets, and customer databases in Excel/CRM. Ensure all client documentation (KYC, agreement, service log, etc.) is collected and filed digitally or physically. Maintain AMC (Annual Maintenance Contract) renewal tracker and send reminders. ๐งโ๐ป 4. Sales Support Prepare quotations and agreements based on standard formats or manager inputs. Share promotional offers, service brochures, and awareness materials with leads. Coordinate with accounts team to generate invoices and track payments. ๐งฎ 5. MIS & Reporting Generate daily, weekly, and monthly sales reports, lead conversion reports, and pending follow-up lists. Support management in data entry and compiling performance analysis. ๐ 6. Coordination with Field Team Ensure field sales executives and technicians are informed of their daily schedules. Track job completion status and get updates for pending services. Required Skills & Qualifications: Education: Graduate (any stream) โ Commerce/Business preferred Experience: 1โ2 years in admin or sales support role (experience in pest control/facility management is a plus) Skills: Good communication in English, Hindi, and local language MS Excel, Google Sheets, Email, WhatsApp Business, CRM tools Basic knowledge of quotations/invoicing Traits: Organized, punctual, proactive, and good at multitasking Performance Metrics (KPIs):Lead assignment and tracking efficiency Timely customer follow-ups Sales report accuracy and documentation updates Customer satisfaction in coordination and communication AMC renewal rate and support to field teams
