Job Title: Sales Coordinator / Sales Support Executive / Inside Sales Coordinator / Commercial Executive Department: Sales / Sales Operations / Commercial Reports To: Sales Manager / Head of Sales / Commercial Head / Operations Manager Location: Nagpur, Maharashtra, India (This is primarily an office-based role). Job Summary: We are seeking a highly organized, proactive, and detail-oriented Sales Coordinator to provide essential administrative and operational support to our sales team in Nagpur. The ideal candidate will be responsible for managing sales orders, coordinating with various internal departments, handling customer communications, maintaining sales data, and ensuring the efficient flow of all sales-related processes. This role is vital for optimizing sales team productivity and enhancing overall customer experience. Key Responsibilities: Sales Order Processing & Management: Receive and accurately process sales orders from sales executives or directly from customers. Generate sales quotations, proforma invoices, and delivery challans, ensuring all details are correct and compliant. Verify order details, pricing, and terms & conditions before processing. Ensure all sales-related documentation is properly filed, both physically and digitally. Customer Communication & Support: Serve as a primary point of contact for customer inquiries related to order status, delivery schedules, product availability, and general sales-related queries (excluding direct sales pitching). Communicate proactively with customers regarding any delays, issues, or updates concerning their orders. Address customer concerns or complaints effectively and escalate complex issues to the Sales Manager as needed. Internal Coordination & Liaison: Coordinate closely with the production/operations team to confirm product availability and delivery timelines. Liaise with the logistics/dispatch department to ensure timely and accurate shipments. Collaborate with the accounts department for invoicing, payment follow-ups, and reconciliation of sales figures. Provide administrative support to the field sales team, including scheduling meetings, preparing sales kits, and managing travel arrangements. Sales Data Management & Reporting: Maintain and update the Customer Relationship Management (CRM) system or sales database with accurate customer information, lead status, sales activities, and order details. Assist in preparing various sales reports, including daily/weekly/monthly sales performance, lead conversion rates, pipeline status, and market analysis. Extract and analyze sales data to identify trends and provide insights to the sales management team. Documentation & Compliance: Ensure all sales processes and documentation adhere to company policies, internal controls, and statutory regulations (e.g., GST documentation requirements). Manage and organize sales-related files, contracts, and agreements. Back-office Support: Assist in preparing sales presentations, proposals, and marketing materials. Handle general administrative tasks for the sales department as assigned.
