Sales Coordinator

Position: Sales Coordinator (Female)

Location: Delhi NCR (Work-from-home with field coordination as needed)

Department: Sales & Marketing

Reporting To: Business Head / Product Heads

Experience Required: 3–5 years

Salary: As per industry standards

1. ROLE SUMMARY

The Sales Coordinator will be responsible for handling all inbound leads generated through Facebook, Instagram, LinkedIn, WhatsApp, Google Ads, and IndiaMART for all business verticals under CosmicSynergy Services Pvt Ltd. She will professionally coordinate with potential customers, understand their requirements, schedule site visits/Zoom calls, and update the CRM daily.

This role requires excellent communication skills, strong follow-up ability, and the maturity to speak with corporate clients, consultants, architects, facility teams, and homeowners.

2. QUALIFICATIONS & SKILL REQUIREMENTS

Educational Qualification

Graduate in any discipline (B.Com/BBA preferred).

A diploma in sales/marketing/office administration is a plus.

Professional Skills

Strong verbal and written communication (Hindi & English).

Ability to handle customer calls confidently.

Familiar with CRM tools (Zoho/HubSpot/WATI/LeadSquared).

Must understand basic concepts of:

DG Sets / HVAC / MEP projects

CCTV

Mini Fire Extinguishers

Energy Audit

Service Lead Coordination

Proficiency in WhatsApp business tools, Google Sheets, Email drafting.

Good follow-up and closure attitude.

Highly organised and disciplined with daily reporting.

Personality

Pleasant personality and polite communication.

Self-driven, eager to learn technical basics.

Comfortable talking to senior clients and contractors.

3. KEY RESPONSIBILITY AREAS (KRAs)

KRA 1 — Lead Handling & Qualification

Receive all inquiries from social media ads, WhatsApp, landing pages, and CRM.

Call each lead within 10 minutes of receiving it.

Understand the requirement clearly (DG Set / CCTV / Energy Audit / AMC / HVAC / Mini Fire Extinguisher / Wellness).

Categorize leads based on urgency, budget, and readiness.

KRA 2 — Coordination With Product Heads

Forward qualified leads to the relevant product head.

Schedule Zoom calls, physical meetings, or site visits for the product teams.

Maintain inter-department coordination until the enquiry is closed.

KRA 3 — CRM & Reporting

Update CRM daily with:

Lead details

Follow-up notes

Status (hot/warm/cold/closed)

Maintain daily, weekly, and monthly MIS reports.

KRA 4 — Follow-Ups & Client Support

Conduct timely follow-ups with unclosed leads.

Send quotations, brochures, catalogues as guided.

Track client responses and support during sales closure.

KRA 5 — Appointment Scheduling & Calendar Management

Arrange Zoom meetings, physical meetings, or technical presentations.

Coordinate for demonstrations (SIFRA), survey visits (DG Set/CCTV/MEP), and wellness consultations.

4. KPIs – KEY PERFORMANCE INDICATORS

Lead Management & Follow-Up

90%+ lead contact rate within 10 minutes of arrival.

100% CRM updation every day by 7 PM.

Conversion & Closure Support

At least 25–30 qualified leads delivered per week to respective product heads (depending on ad volume).

15–20% conversion ratio from qualified lead → meeting scheduled.

Communication & Coordination

Zero missed leads (all sources monitored).

95% accuracy in recording requirements & client details.

Client Experience

Positive client communication rating (internal feedback).

No escalation regarding call quality or professionalism.

Reporting

Daily call report + Weekly MIS submitted on time.

5. ADDITIONAL RESPONSIBILITIES

Support the marketing team by giving feedback on lead quality.

Maintain a standardized script for each vertical.

Send WhatsApp follow-up templates and reminders to leads.

Assist the content team with common customer questions.

Provide real-time insights on ad performance & lead trends.

6. GROWTH PATH
