Job Description

Role Overview:

We are looking for candidate who can assist the organization in daily coordination between sales, production, logistics, and customers. This role ensures accurate order processing, timely dispatches, proper invoicing, documentation control, and smooth communication with customers and transporters.

 

1. Daily Dispatch & Delivery Coordination:

- Prepare the daily dispatch schedule based on customer requirements.

- Share daily dispatch updates and delivery performance reports.

- Send dispatch detail emails to customers every day.

- Coordinate with Consignee Agents for daily delivery status updates.

- Arrange vehicles for dispatch for consignments by contacting logistics partner.

- Send daily email to logistics regarding dispatches.

- Perform daily DC invoicing as per customer requirement.

- Update and file PODs (Proof of Delivery) daily.

 

2. Stock Monitoring:

- Monitor daily logistics stock status.

- Monitor daily production stock status.

 

3. Invoicing & Documentation:

- Prepare daily invoicing as per dispatch schedule. And generate Customer Specific documents to be accompanied with the invoices.

- Generate E-Way Bills for invoices and delivery challans.

- Handle AFM invoicing and update pending AFM orders.

- Arrange invoices with PDIR and hand them to production daily.

- Maintain Kathua bills details.

- Prepare supplementary bills as required.

- Manage GRN details weekly.

- Handle other sales/dispatch documents as required.

 

4. Customer Reporting & Compliance:

- Send 4M Change Record Sheets to customers.

- Prepare OEMs Lamp Statements.

- Maintain CSR and SQM annually.

 

5. Sales Orders & Aftermarket:

- Create Sales Orders (SO) in ERP daily.

- Update After Market orders and pending AFM orders.

 

6. Transporter Coordination:

- Daily coordination with Logistics; MIS updates.

- Handle monthly transporter bill updates.

 

7. Sales Reports:

- Preparing and updating the sales report.

 

8. Customer & Monthly Reports:

- Customer Performance Report (VPR) monthly.

- Customer Specific monthly bill details.

- Monthly outstanding details.

- Monthly logistics bills checking.

 

Skills Required:

- Strong knowledge of dispatch, invoicing & logistics documentation.

- Proficiency in ERP, Tally, Excel, and email.

- Strong communication and follow-up skills.

- High attention to detail.

 

Qualifications:

- Graduate (Commerce / Business Administration preferred).

- 1–4 years' experience working in sales or logistics.
