Job Title: Receptionist – Service Entry

Job Summary

The Receptionist – Service Entry is responsible for managing front‐desk operations while accurately recording and processing service entries in the company’s system. This role ensures that all visitors are welcomed professionally, inquiries are handled efficiently, and service-related data is entered promptly and correctly.

Key Responsibilities for Front Desk & Customer Service

  • Greet visitors, clients, and vendors in a professional and friendly manner.
  • Answer incoming calls and direct them to the appropriate department or staff member.
  • Respond to customer inquiries and provide general information about services.
  • Maintain a clean, organized, and welcoming reception area.

Service Entry & Administrative Support

  • Accurately enter service orders, job cards, or service requests into the company’s system.
  • Review documents for completeness and resolve any missing or incorrect information.
  • Coordinate with the service department to ensure timely processing of service entries.
  • Maintain service logs, files, records, and other documentation.
  • Monitor incoming service items and track their status until completion.
  • Prepare daily, weekly, or monthly reports related to service entries.

Clerical & Office Support

  • Handle email correspondence and distribute messages to relevant departments.
  • Assist with data entry, filing, scanning, and other administrative tasks.
  • Schedule appointments or service visits when required.
  • Manage office supplies and ensure adequate stock at the front desk.

Qualifications & Skills

  • High school diploma or equivalent.
  • Previous experience as a receptionist, front desk agent, or administrative assistant preferred.
  • Strong attention to detail and accuracy in data entry.
  • Excellent communication and customer service skills.
  • Ability to multitask and work under minimal supervision.
  • Proficiency in MS Office (Word, Excel) and basic knowledge of service management systems.
  • Professional appearance and positive attitude.

Working Conditions

  • Office-based role with regular interaction with customers and service staff.
  • May require occasional extended hours depending on work.
