Job Description

Job Summary:

The Front Desk Receptionist serves as the first point of contact for visitors and clients. This role is responsible for managing the reception area, handling phone calls, greeting guests, coordinating office activities, and supporting administrative tasks. The ideal candidate should have excellent communication skills, a professional appearance, and the ability to multitask efficiently in a fast-paced environment.

Key Responsibilities:

  • Greet and welcome visitors in a warm, professional, and friendly manner.
  • Answer, screen, and forward incoming phone calls and emails promptly.
  • Maintain the reception area in a clean, organized, and presentable condition.
  • Manage visitor logbooks and issue visitor passes as per company policy.
  • Handle incoming and outgoing courier and postal services.
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Assist in maintaining office supplies and coordinate with vendors when needed.
  • Provide basic administrative and clerical support to the HR and Admin teams.
  • Manage internal communications, circulars, and notice boards.
  • Maintain employee attendance records and assist with onboarding formalities when required.
  • Support event coordination, travel arrangements, and hospitality management.
  • Handle customer inquiries and ensure they are directed to the appropriate departments.
  • Uphold confidentiality and professionalism in all office-related matters.

Qualifications & Requirements:

  • Bachelor’s degree or equivalent preferred.
  • Proven experience as a receptionist, front desk executive, or similar role.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities.
  • Presentable, polite, and customer-service oriented.
  • Ability to work independently and handle stressful situations calmly.
