Assistant Manager / Manager - PMO Role Overview:
We are looking for a proactive and organized Project Coordinator to support end-to-end coordination for Solar EPC projects from the Head Office in Hyderabad. The role involves tracking project schedules, managing documentation, coordinating with procurement and engineering teams, and ensuring seamless communication with project sites. The Project Coordinator will play a key role in ensuring timely execution of projects through structured planning, efficient documentation, and cross-functional coordination.
Key Roles and Responsibilities:
1. Project Monitoring Coordination
Track project schedules, milestones, timelines, and progress for all ongoing Solar EPC projects.
Maintain daily/weekly/monthly trackers and dashboards for internal and management reviews.
Coordinate with site teams to gather progress updates, photographs, manpower logs, and issue trackers.
Assist PMO in identifying risks, delays, and dependencies, ensuring timely escalation for resolution.
2. Documentation Reporting
Prepare and manage project documentation including MOMs, RFIs, BOQs, drawings, DPRs, and MIS reports.
Maintain and update centralized document repositories ensuring accurate version control.
Assist in generating reports for clients, consultants, auditors, and internal teams.
Ensure proper filing of all project records for audit and compliance purposes.
3. Engineering Design Coordination
Coordinate with engineering teams for timely release of drawings, design approvals, layouts, and other technical deliverables.
Track engineering revision logs and ensure timely circulation of updated drawings to all stakeholders.
Maintain approval matrices and follow up to close engineering-related actions.
4. Procurement Vendor Coordination
Follow up with procurement on PO issuance, vendor approvals, dispatch schedules, and material delivery timelines.
Maintain material trackers and align logistics with project requirements.
Coordinate with vendors for inspection reports, delivery confirmations, compliance documents, and pending submissions.
Highlight material gaps or delays affecting project execution.
5. Financial Billing Support
Coordinate with finance for vendor payments, invoice processing, advance requests, and retention tracking.
Assist in preparing data for client billing, measurement sheets, and supporting documentation.
Track budget vs. actual expenditure and provide frequent updates to PMO and management.
6. Site Coordination
Serve as the communication link between Head Office and project sites for engineering, procurement, logistics, and execution updates.
Track manpower deployment, contractor mobilization, and resource availability at sites.
Support planning for inspections, testing, and commissioning activities.
7. Client Stakeholder Coordination
Coordinate with client representatives for document submissions, approvals, scheduling meetings, and closing action items.
Support project managers in preparing progress reports, review presentations, and client communication.
Ensure timely and professional handling of all external communication related to project documentation.
8. Compliance Quality Support
Maintain logs for WIRs, MIRs, quality submissions, drawings, and approval records.
Support QHSE, engineering, and planning teams to ensure documentation meets compliance standards.
Ensure alignment of submissions with client, consultant, and statutory requirements.
Qualifications Experience:
Education:
Bachelor s Degree in Engineering (Electrical / Mechanical / Civil / ECE) or a relevant discipline. Strong proficiency in MS Excel, MS Project, ERP tools, and document control systems.
Good understanding of Solar EPC workflows including engineering, procurement, logistics, and execution.
Excellent communication, organizational, and multi-tasking skills.
