Job Description

Role & responsibilities We are seeking an experienced and dynamic Project Lead for Rules Team. This role is crucial for ensuring the successful creation, implementation, and quality assurance of rules that govern various IP processes within the database. The Project Lead will be responsible for managing work allocation, tracking project progress, conducting quality audits, and ensuring that the team meets deadlines. This role also involves handling ad-hoc projects and auditing standard documentation to maintain consistency and quality in all aspects of IP rule development. Key Responsibilities: Quality Audits and Compliance: Conduct regular quality audits of IP rule documentation and related processes to ensure adherence to established standards and best practices. Ad-Hoc Project Management: Lead and manage ad-hoc projects related to enhancement of Symphony features. Coordinate resources and timelines for Ad-hoc projects, ensuring they are completed successfully and within specified deadlines. Maintain Documentation and Reports containing daily progress of ongoing projects and rule development initiatives, ensuring that milestones and deadlines are met. Track the status of each project, providing regular updates to management and stakeholders regarding timelines and deliverables. Prosecution, Annuity and Renewal Fee management Oversee the timely updating of the system with relevant fee information and regularly validate fee data to ensure accuracy. Agent management Act as a liaison to obtain prosecution, annuity and renewal fees along with contractual agreements where necessary; regularly monitor the agent for performance with the internal teams. MaxForms Management Manage the MaxForms tool, which enables users to easily fill, validate, and generate official PTO forms in an automated manner. Documentation and Reporting: Audit and review standard documentation related to IP rule development, ensuring that all materials are up-to-date, accurate, and aligned with current practices. Review rules set for accuracy, consistency, and compliance, identifying areas for improvement and recommending corrective actions. Ensure that the team follows quality control procedures to maintain the highest standards in rule creation, testing, and deployment. Ensure that all documentation is properly organized and stored for easy retrieval by relevant teams and stakeholders. JIRA Management - Manage the intake of all tickets from queue and assign them to the appropriate team member based on the nature of the request. Preferred candidate profile Requirements Qualifications : 5+ years of experience in IP, project management, or a related role, with at least 2 years in a leadership position. Strong knowledge of intellectual property laws and regulations. Experience in managing cross-functional teams and complex projects with multiple stakeholders. Familiarity with IP management databases, software tools, and rule-based systems. Excellent organizational and time-management skills, with the ability to manage multiple priorities simultaneously. Strong attention to detail, with a focus on maintaining high standards for quality and accuracy. Exceptional communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders. Proficiency in Microsoft Office Suite and project management tools (e.g., Jira). Desirable Skills: Bachelors degree in law, Business Administration, or a related field preferable. A focus on IP is highly desirable. Experience with Agile project management methodologies. Knowledge of IP rule engines and IP management systems. Experience with process improvement methodologies, such as Six Sigma or Lean.
