Job Description

Position OverviewThe Procurement cum Tender Executive will manage both procurement operations and government/private tenderingfor ANS IT INDIA. The role demands strong vendor coordination, documentation accuracy, negotiation skills, tender compliance, and the ability to support internal teams with timely purchasing and tender submissions. Key Responsibilities 1. Tender Management Identify relevant tenders from GeM, NIC, eTender portals, and state government sites. Read and understand tender specifications, technical requirements, and commercial terms. Prepare, compile, and submit technical & financial bids before deadlines. Coordinate with sales, technical, and finance teams for required inputs. Track tender status—submitted, under evaluation, L1 status, won/lost. Maintain EMD, BG, authorization letters, affidavits, and other required documents. 2. Procurement & Purchasing Identify requirements based on sales orders, project needs, and stock availability. Source vendors for hardware, electronic devices, cables, accessories, fuel sensors, dashcams, etc. Obtain competitive quotations, negotiate pricing, and recommend the best vendor. Prepare and issue purchase orders (PO) and follow up for timely delivery. Ensure all products match the required specifications and quality standards. Maintain procurement trackers and vendor performance records. 3. Vendor Management Build strong relationships with OEMs, suppliers, and logistics partners. Evaluate vendor reliability, price competitiveness, and supply timelines. Resolve issues related to delays, shortages, or quality concerns. 4. Documentation & Compliance Ensure all tender documents are updated and error-free. Maintain procurement records, stock receipts, warranty details, and delivery challans. Prepare MIS reports for management—procurement, tender status, vendor lists, costing, etc. Ensure compliance with company procurement SOPs and approval workflows. 5. Inventory & Cost Control Support Coordinate with warehouse/stock team for inward & outward entries. Help maintain minimum stock levels for fast-moving items. Suggest cost-saving options without compromising product quality. Required Skills & Competencies Strong knowledge of GeM / eTendering / procurement processes. Excellent negotiation and vendor management capability. High attention to detail and strong documentation discipline. Ability to work under pressure with tight deadlines. Proficiency in MS Office (Excel, Word), Google Sheets, PDF editing tools. Good communication, analytical, and follow-up skills.
