The primary focus of this role is to ensure cost accuracy, control expenditures, and drive regional profitability. The ideal candidate will be the guardian of the region's Profit & Loss (P&L) statement, with direct responsibility for transport and vendor bill auditing, warehouse petty expense management, and implementing cost-saving initiatives. Key Responsibilities 1. Financial Control & Bill Auditing: Vendor Invoice Verification: Meticulously audit and verify all Third-Party Transport Vendor bills (e.g., line-haul, FTL, LTL carriers) against agreed contracts, rates, and operational data (PODs - Proof of Delivery, trip sheets). Discrepancy Management: Identify, investigate, and resolve billing discrepancies, overcharges, and duplicate payments in a timely manner. Vendor Management: Liaise with transport and other vendors to clarify billing issues, negotiate corrections, and ensure credit notes are received and processed. Process Improvement: Develop and implement robust processes for bill verification, approval, and payment to minimize errors and improve efficiency. Other Vendor Bills: Review and validate invoices from other service vendors (e.g., warehouse maintenance, security, utilities) for accuracy and contract compliance. 2. Warehouse Petty Expense Management: Oversight & Policy: Take full responsibility for all petty cash and minor operational expenses across regional warehouses. Expense Tracking: Implement and manage a system for tracking, recording, and reconciling petty cash disbursements. Approval Authority: Review and approve petty expense claims, ensuring they are legitimate, necessary, and supported by proper documentation. Budget Adherence: Ensure all petty expenses are within allocated budgets and investigate any unusual spending patterns. 3. Profit & Loss (P&L) Responsibility: Ownership: Hold full responsibility for the preparation, analysis, and management of the regional P&L statement. Cost Analysis: Conduct regular, deep-dive analysis of major cost drivers (transportation, manpower, warehouse utilities) to identify trends, variances, and opportunities for improvement. Revenue Assurance: Work with the operations and sales teams to ensure all billable services to clients are accurately captured and invoiced. Budgeting & Forecasting: Assist in the development of the annual regional budget and provide regular financial forecasts. Profitability Reporting: Generate weekly/monthly profitability reports for the region, highlighting performance against targets and key metrics (KPIs). 4. Commercial & Strategic Support: Cost-Saving Initiatives: Proactively identify and lead projects to reduce operational costs and improve gross margins. Vendor Negotiation Support: Provide financial data and analysis to support the procurement team in negotiating new transport and vendor contracts. Pricing Support: Assist the sales team in preparing customer quotations by providing accurate cost models. Experience Minimum of 5-7 years of experience in a commercial finance, cost accounting, or audit role, specifically within the Logistics, Supply Chain, or 3PL industry. Proven, hands-on experience with transport bill auditing and vendor payment processes is essential. Demonstrable experience with P&L management and financial analysis. Technical Skills: Proficiency in ERP systems (e.g., SAP, Oracle) and advanced skills in Microsoft Excel/Google Sheet (PivotTables, VLOOKUPs, etc.) are mandatory.
