Job Title: Personal Secretary to Chairman / Managing Director
Location: One BKC, Mumbai
Reporting To: Chairman / Managing Director
Position Overview
The Personal Secretary will provide comprehensive administrative, operational, and personal support to the Chairman, ensuring efficient management of his daily schedule, communication, meetings, and confidential matters. This role demands strong organizational skills, high discretion, and a professional demeanor suitable for engaging with senior stakeholders and high-profile individuals.
Key Responsibilities
- Manage and coordinate the Chairman’s calendar, appointments, and travel arrangements (domestic & international).
- Handle all correspondence, calls, and emails with professionalism, prioritising and responding on behalf of the Chairman when required.
- Prepare, proofread, and manage confidential documents, letters, reports, and presentations.
- Coordinate internal and external meetings, including drafting agendas, recording minutes, and ensuring action follow-ups.
- Liaise with senior executives, clients, government offices, and other stakeholders on behalf of the Chairman.
- Maintain and organize personal and official files, financial records, memberships, and legal documents.
- Supervise event planning, hospitality, and logistical arrangements for business meetings / gathering.
- Provide personal assistance, including handling appointments, travel, errands, and Other coordination as assigned.
- Monitor project deadlines and prepare weekly briefs and updates for the Chairman’s review.
Key Skills and Competencies
- Excellent written and verbal communication (English and local language).
- High level of discretion, confidentiality, and professionalism.
- Strong organizational and multitasking ability under pressure.
- Attention to detail, initiative, and time management.
- Proficiency in MS Office Suite, scheduling tools, and digital filing systems.
- Pleasant personality with strong interpersonal and diplomatic skills.
Qualifications and Experience
- Bachelor’s degree; secretarial or business administration background preferred.
- 5–10 years of executive assistant or personal secretary experience with senior corporate leaders or entrepreneurs.
- Exposure to multinational environments or family offices desirable.
- Flexibility to travel and work beyond standard office hours.

Attractive and commensurate with experience, including performance incentives and benefits.
