Position: Operations Manager - Fulfillment & Logistics Location: Indiranagar, Bangalore (till August), Whitefield (from September) Type: Full-Time Reporting to: Founder / Business Head Brands: Three One Farms | Casa Farina | Meld Foods About the Role We’re looking for a detail-oriented and proactive Operations Manager to oversee and streamline the order fulfillment, dispatch, invoicing, and logistics process for both D2C and B2B channels. The role involves daily order coordination across WhatsApp, Shopify, and email, and managing dispatches from two locations—Abohar, Punjab and Bangalore. You’ll ensure that each order moves efficiently from confirmation to dispatch to final delivery—while keeping clients informed, invoices clear, and payments on track. Key Responsibilities Order Management - Receive and consolidate all orders from:   - WhatsApp Business (manual input)   - Shopify website (automated and manual verification)   - Email (manual input) - Maintain a centralized Excel-based master sheet, updated daily with:   - Order details (SKU, quantity, client info)   - Fulfillment status and location   - Dispatch partner and invoice status Dispatch Coordination - Allocate orders to the appropriate fulfillment location:   - Punjab (for B2B, bulk)   - Bangalore (D2C + local B2B; Indiranagar till August, Whitefield from September) - Share daily dispatch lists and pickup schedules with packaging teams - Ensure real-time updates to the master sheet on dispatch status Logistics & Tracking - Schedule and coordinate pickups via:   - Shiprocket (for D2C and small parcels)   - Safexpress (for bulk/B2B shipments) - Generate labels, AWBs, and tracking links - Send tracking details to clients promptly via WhatsApp or email Invoicing & Payments - Create and manage invoices using Zoho Books, based on confirmed order details - Ensure order-invoice sync from Excel to Zoho - Share invoices and ledgers with clients post-dispatch - Follow up with clients for pending payments through calls and WhatsApp - Coordinate with the accounts team to access client-wise ledgers and payment histories Process Optimization - Identify ways to simplify and automate order-to-dispatch processes - Liaise with tech partners for system integrations across Shopify, Zoho Books, Shiprocket, and Excel - Create SOPs to reduce order handling errors and improve turnaround time Requirements - 2–4 years’ experience in e-commerce or B2B order management, logistics, or operations - Proficiency in Excel/Google Sheets and structured data handling - Working knowledge of:   - Shopify (basic backend use)   - Zoho Books (or equivalent invoicing tool)   - Shiprocket, Safexpress, or other shipping platforms - Excellent communication and follow-up skills, especially via WhatsApp and calls - Organized, reliable, and comfortable working in a fast-moving environment Work Timings - Monday to Saturday - On-ground at Indiranagar (till August), shifting to Whitefield (from September) - Remote coordination with Punjab dispatch center as required
