As the
Operations Head
, you will execute and manage the end-to-end operational flow of Smile Foreign Education — from student onboarding to university applications, visa filing, and final pre-departure services. You’ll play a key role in optimizing internal processes, coordinating, and ensuring an exceptional student experience at every step. You’ll also be responsible for overseeing
student engagement events
like
webinars, in-house seminars, interview prep, and educational workshops
— ensuring our students are confident, well-informed, and ready to study abroad.
Process & Workflow Management
- Track turnaround time (TAT) and improve efficiency using process automation
- Ensure task coordination among applications, visa, counseling, and admin teams
- Ensure accountability through Zoho CRM/task tracking systems
Student Engagement, Webinars & Sessions
- Plan, schedule, and oversee weekly/monthly webinars on topics like country-specific intakes, visa rules, scholarships, etc.
- Organize in-house seminars for groups of students on documentation, SOP writing, interview strategies, and travel preparation
- Coordinate visa interview preparation sessions for countries like the USA, UK and Australia
- Collaborate with internal teams and guest speakers for smooth execution
Reporting & Monitoring
- Track KPIs like applications submitted, offers received, visas approved, attendance at sessions
- Prepare performance reports for management
Documentation & Compliance
- Ensure document completeness and accuracy in every case
- Monitor GTE, SOPs, DS-160s, financials, etc., based on destination country
- Standardize documentation templates and formats
Student Relationship & Escalation Handling
- Address escalations or delays related to university or visa processing
- Maintain clear, proactive communication with students and parents
- Focus on improving student experience from onboarding to pre-departure
University & Partner Coordination
- Maintain regular contact with universities, resource partners (RPs), and aggregators
- Track deadlines, offers, new intakes, scholarships, and webinar invites
- Align internal activities with partner events and promotions
Technology & Tools Management
- Ensure proper usage of Zoho CRM, WhatsApp notification, Work Drive, Online meeting tools and workflow automations.
Requirements
Required Skills & Qualifications
- 5+ years experience in operations (preferably in overseas education or edtech)
- Excellent leadership and time management skills
- Hands-on experience with Zoho CRM or similar platforms
- Strong communication and event coordination abilities
- Exposure to student visa processes (Canada, Australia, UK, USA)
- Ability to manage webinars, training events, and knowledge sessions
