Role Summary

Operations Associate

Key Responsibilities

  • Track hiring demand across hospitals, university hospitals, nursing homes, and elderly care homes in Germany.
  • Support new client onboarding, maintain client data, and prepare monthly reports.
  • Manage job requirements, update documentation records, and assist with lead generation.
  • Map candidates to suitable roles based on specialization and employer needs.
  • Coordinate mock interviews, internal assessments, interview scheduling, and feedback collection.
  • Maintain job portal data and update internal dashboards for weekly and monthly reviews.
  • Conduct profile sanity checks and assist candidates with CV refinement and placement preparation.
  • Support employment contract coordination, recognition processes, and pre-visa documentation.
  • Manage visa workflows in collaboration with visa partners.
  • Handle documentation tasks including translations, ID verification, background checks, and vaccination compliance.
  • Coordinate pre-departure briefings, flight bookings, and interactions with travel/visa partners.
  • Ensure all declarations, documents, and approvals are in place before travel.
  • Provide initial settlement assistance and guidance after arrival in Germany.
  • Conduct periodic well-being check-ins and support retention efforts.
  • Track recognition process progress, documentation submissions, and language development.

Skills & Requirements

  • Bachelors degree in any field (Operations/HR preferred).
  • 13 years of experience in operations or coordination roles.
  • Preference to Individuals from the international travel and visa industry. German language will be a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication and follow-up ability.
  • Detail-oriented, reliable, and comfortable managing documentation-heavy processes.
  • Basic understanding of international mobility is a plus.
  • Familiarity with dashboards, CRMs, and digital workflow tools.
  • Self-Starter: Highly motivated, goal-oriented, and able to work independently to meet targets.
