Job Description

Reporting To: CTO Managing Director Purpose: The primary responsibility of this role is to ensure operational efficiency and effective delivery of tasks and projects, proactively managing administrative duties, coordinating across teams, and enabling the executive to focus on strategic responsibilities. Key Responsibilities: Attend daily stand-ups, meetings, and strategic discussions, ensuring action points and decisions are accurately captured and documented. Proactively track and manage all tasks and projects delegated by the CTO, ensuring timely and efficient delivery by relevant teams or individuals. Actively follow up on outstanding actions, tasks, and deliverables, identifying roadblocks and facilitating resolutions. Coordinate communications with HR, handling administrative queries and operational needs related to the CTO s direct reports and department. Optimize and manage internal processes to improve operational efficiency and productivity. Manage calendar scheduling and logistics, prioritizing essential meetings and protecting the CTO s schedule from unnecessary disruptions. Maintain comprehensive documentation of meeting notes, action items, and decisions. Act as a central point of communication across different teams to ensure alignment, clarity, and smooth collaboration. Skills and Competencies: Strong organizational, administrative, and project management skills. Excellent interpersonal and communication skills (written and verbal). Ability to operate autonomously, identify priorities, and execute tasks proactively. Familiarity with Agile methodologies (daily stand-ups, sprint planning, retrospectives). Effective in managing multiple tasks with robust follow-through capabilities. Capable of handling sensitive information with discretion and professionalism. Proficient in productivity tools (Google Workspace, Microsoft 365, ClickUp, Jira, or similar). Qualifications and Experience: Minimum 3 years of experience in Operations, Project Management, Delivery Management, or similar roles. Experience working in agile, fast-paced, technology-driven environments preferred. Bachelor s degree in Business Administration, Management, Communications, or related fields beneficial but not required. This role significantly enhances the operational excellence and delivery capability of the organization, directly supporting strategic execution and effectiveness.
