Job Description: We are seeking a proactive and detail-oriented Office Assistant to provide comprehensive administrative and clerical support, ensuring the efficient day-to-day operations of our office. You will be a vital part of our team, contributing to a positive and organized work environment. Responsibilities: Administrative Support: Manage and direct phone calls, taking messages and routing inquiries appropriately. Handle incoming and outgoing mail, including sorting, distributing, and preparing shipments. Maintain and organize physical and electronic filing systems. Prepare and edit correspondence, reports, and presentations. Manage office supplies, anticipating needs and placing orders as necessary. Coordinate office maintenance and repairs, liaising with vendors. Communication and Customer Service: Serve as a point of contact for visitors, clients, and employees, providing a professional and welcoming experience. Respond to emails and other inquiries in a timely and professional manner. Assist with internal and external communication efforts. Scheduling and Organization: Schedule and coordinate meetings, appointments, and conference calls. Maintain calendars and assist with travel arrangements. Help organize company events and meetings. Data Entry and Record Keeping: Accurately input and maintain data in various systems and databases. Assist with basic bookkeeping tasks, such as processing invoices and expense reports (if required). Ensure the accuracy and completeness of records. General Office Support: Maintain a clean and organized office environment. Operate and troubleshoot office equipment (e.g., printers, copiers, fax machines). Perform other administrative and clerical duties as assigned. Qualifications: High school diploma or equivalent; associate's degree or relevant certification is a plus. Proven experience as an Office Assistant or in a similar administrative role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent verbal and written communication skills. Strong organizational and time-management abilities. Attention to detail and accuracy. Ability to multitask and prioritize tasks effectively. Professional and positive demeanor.
