Job Title: Office Administrator Job Location: Chennai Experience : 7+ Years
Job Summary/Objective:
ProvidesavarietyoffacilitiesandgeneralofficeadministrationsupportfortheChennai,India office location, and ensures efficient and smooth operations of the physical work site. Key Responsibilities & Duties(essential to the job)
  • Maintains and distributesDaily/Weekly/Monthly WFO reports.
  • Arranging the decoration items and decorating the office with the help of housekeeping staff/vendors in the event
of special occasions and festivals.
  • Coordinating for blockingHotel banquet halls or Amphitheatre forOEC events
  • Sending petty cash billstoOffice Manager with bill summary, petty cash tracker spreadsheet, and copy ofthebills
beforethe8thof everymonthforthefirst cyclepayment.
  • Coordinating with the Admin team forspecial events and projects, including HR activities and special occasions
  • Greeting visitors and directing themto the appropriateoffice/person.
  • Coordinating forreserving tablesinrestaurantsforlunch/dinnerforthe Leadership team/Managerswith the OEC India visitors
  • Responsibilities with Country Leader
o Managing the Country Leader's calendarforregularmeetings.
o Compiling data efficiently to prepare reports asrequired by the Country Leader. o Demonstrating proficiency in creating effective PowerPoint presentations for meetings
  • TravelArrangementfor OECIndia Visitors.
o Arranging invitation letter
o Coordinatingandarranging forhotelroomreservationsforstay. o Arranging airport pick on arrival and drop on departure and Daily pick and drop for office commute. o Arrangingmealsfor visitors asperthe agenda. o Coordinate with the Leadership team and respective Managers to prepare the visitor’s calendar and schedule the Microsoft Team’s invite for the same.
  • ArrangementforOECIndia Employees’ overseas travel.
o Arranging invitation letters and cover letter
o Coordination fortheVisa process o Supporting Forex card/currency process o Arranging Air ticket booking o Coordinatingandarranging forhotelroomreservationsforstay. o Airport Pick on arrival and drop on departure and daily pick and drop for office commute at the destination.
  • WorkonanAdhoc requestifthere is any.
J O B / ROLE D E S C R I P T I O N
Education AGeneral Certificateof Education (GCE)isrequired. Experience, Skills, and Key Competencies Atleast7yearsofofficeadministrativesupportexperienceisrequired. Must also be able to demonstrate the following skills and abilities:
  • Acustomerservice-oriented approach.
  • Excellent verbal and written communication skills.
  • Excellent organizational and problem-solving skills with attention to detail.
  • Proficiency in Microsoft Office Suite or related software necessary to create and maintain reports and logs.
  • Ability toworkindependentlyandpushtasks/projectstocompletion,whileprioritizingmultipletasksina fast-paced
environment.
  • Able to handle confidential information with discretion.
Special Position Requirements
  • Mustbeabletoread,write,understand,andfluently speakEnglish.
  • Occasionaltravelmay be required to run local errands.
  • Abletobend, lift,stretch, or climbtomaintain equipment and buildings
