Administrative responsibilities: Ø Guiding and overseeing day-to-day activities of the department. Ø Performing day-to-day tasks/operations as assigned by the senior personnel. Ø Filing and record keeping. Functional responsibilities: Ø Liaise with suppliers’ toc source spares, consumables, and other materials based on requisitions and production requirements. Ø Make and update purchase orders in AMS, and follow up on order confirmation and delivery timelines. Ø Resolve supplier queries and track overdue parts or shipments. Ø Preparing custom documentation and ensure compliance with import regulations. Ø Handled bond-related documentation for custom requirements. Ø Prepare documentation for import payments, including KYC forms, POs and custom related documents. Ø Submit Bill of entries (BOE) and manage credit card BOE submissions. Ø Prepare and maintain monthly MIS reports, purchase order status reports and KPI templates. Ø Maintain accurate records of import shipments, GRNs, payments, EDDs, freight invoices, and custom clearance documents. Ø Provide status reports for open requisitions and inventory changes. Ø Add new parts to inventory and maintain records of materials received. Ø Evaluate and onboard new suppliers and freight forwarders. Ø Handle queries related to material receipt and stock levels. Ø Prepare and handle EMS audit and documentation Ø Marine policy declaration Ø Liaise with suppliers’ toc source spares, consumables, and other materials for all Aerospace projects. Ø Performing all custom clearance activities for Aerospace project requirements. Resource and contract management: Manage the procurement of materials, equipment, and supplies. Manage contracts and coordinate with the legal department for contract development and negotiation.
