Job Description: Manager – Operations

Department: Operations
Location: ECR & T. Nagar Campus
Reporting to: Head of School (HOS)

Role Summary

The Manager – Operations is responsible for the overall supervision, coordination, and governance of the school’s operational functions across both campuses. The role oversees the work of Facility Managers, ensuring high standards of infrastructure upkeep, housekeeping, safety, compliance, transport operations, vendor management, and AMC adherence. The Manager also handles government liaisoning, prepares operational/event budgets, approves expenditures in coordination with HOS, and ensures smooth day-to-day functioning of the campuses.

Key Responsibilities1. Operational Leadership & Supervision

  • Oversee, guide, and monitor the daily work of Facility Managers at both campuses.
  • Ensure Facility Managers maintain effective housekeeping, maintenance, transport, and inventory standards.
  • Conduct regular campus walkthroughs to identify gaps and ensure timely corrective action.

2. Housekeeping & Support Staff Governance

  • Review and monitor the duty rosters prepared by Facility Managers (not prepare them).
  • Conduct hygiene/cleanliness audits and ensure corrective measures are taken.
  • Evaluate housekeeping performance through reports and feedback.

3. Campus Maintenance & Infrastructure Management

  • Perform periodic inspections of electrical, plumbing, carpentry, and civil systems.
  • Ensure Facility Managers close minor issues promptly, escalate vendor-level concerns, and maintain proper logs.
  • Track maintenance turnaround times and ensure preventive maintenance schedules are followed.

4. Transport Coordination & Safety Oversight

  • Oversee school transport operations handled by Facility Managers for punctuality, safety, and compliance.
  • Review route optimization, driver/attendant discipline, and vehicle readiness.
  • Support arrival/dispersal monitoring at a supervisory level.

5. Vendor Management & AMC Compliance

  • Review AMC trackers and ensure Facility Managers follow up for timely service completion.
  • Assess vendor performance and escalate issues related to delays or service quality.
  • Ensure proper documentation, service reports, access logs, and approvals are maintained.

6. Purchase, Expense Control & Budgeting

  • Review and approve Purchase Orders (POs) and operational expenses in coordination with HOS.
  • Conduct monthly reviews of consumables, inventory, and non-consumable stock with Facility Managers.
  • Prepare budgets for school events, activities, and operational requirements and track expenditure against budget.

7. Government Liaisoning

  • Coordinate with government departments for approvals, renewals, inspections, and compliance requirements (EB, Water, Fire, Corporation, Pollution Control, etc.).
  • Ensure timely submission of required documents and maintain compliance records.
  • Support audits, statutory inspections, and respond to notices with proper documentation.

8. Reporting & Documentation

  • Maintain consolidated monthly reports on maintenance, stock, AMC status, vendor performance, transport operations, and government-related submissions.
  • Review reports submitted by Facility Managers and escalate critical issues to HOS.
  • Ensure all operational documentation is updated and centrally archived.

Desired Profile

  • 5–7 years of experience in school operations, facility management, or institutional operations.
  • Strong knowledge of campus infrastructure systems (electrical, plumbing, civil, etc.).
  • Experience in government liaisoning and compliance handling is mandatory.
  • Strong budgeting skills, ability to prepare and monitor event/operational budgets.
  • Proficiency in MS Excel, reporting, and documentation.
  • Excellent leadership, coordination, analytical, and follow-up skills.

Job Types: Full-time, Permanent

Pay: ₹40,000.00 - ₹60,000.00 per month
