Job Description: We are seeking a detail-oriented and organized Administrative Assistant to join our team. The Administrative Assistant will play a crucial role in providing administrative support to ensure the efficient operation of the office. The ideal candidate will have strong organizational skills, excellent communication abilities, and the ability to multitask effectively. Office Management: Greet visitors, answer phone calls, and respond to emails in a professional and timely manner. Maintain office supplies inventory by checking stock, anticipating needs, placing orders, and verifying receipt of supplies. Document Management: Create, format, and proofread documents, reports, presentations, and correspondence as needed. Organize and maintain electronic and physical filing systems, ensuring easy retrieval of documents. Conduct regular safety inspections, audits, and risk assessments on-site. Develop, implement, and monitor HSE policies, procedures, and guidelines. Identify unsafe practices and hazardous conditions and recommend corrective actions. Ensure compliance with local safety laws, statutory regulations, and industry standards. Organize safety training programs, toolbox talks, and safety awareness activities. Report and investigate incidents, accidents, and near misses. Maintain records of safety-related activities (permits, safety training, incident reports, etc.). Coordinate emergency response drills and first-aid programs. Provide safety orientation to new employees and subcontractors. Ensure use and availability of PPE and enforce safety rules at all times. Liaise with government bodies, contractors, and management on HSE matters.
