About Us We are a fast-growing recruitment company specializing in the Intellectual Property (IP) space across the United States. We help top-tier law firms and in-house legal teams find exceptional IP attorneys, patent agents, and other legal professionals. As we grow, we’re looking for a reliable, organized Virtual Assistant to support our day-to-day operations. Key Responsibilities Calendar Management: Schedule candidate and client meetings, manage time zones, and avoid clashes. Inbox Management: Monitor and flag important emails, help keep inboxes organized. Data Entry & Tracking: Update candidate and client info in our CRM or applicant tracking system (ATS). Meeting Prep: Send reminders, prep materials, and follow-up notes for interviews and calls. Light Research: Look up companies, LinkedIn profiles, or relevant IP news when needed. Admin Tasks: Help with file organization, invoice tracking, and document formatting. Other Ad-Hoc Support: Be available to lend a hand as new tasks come up. What We're Looking For Strong written and verbal English communication skills Highly organized with good attention to detail Comfortable with Google Workspace (Docs, Sheets, Calendar) Willing to learn basic tools like CRMs, scheduling platforms, and Zoom Self-starter who can work independently and manage their time Interest in recruitment, legal, or the IP space is a bonus — but not required! About the Role We are a U.S.-focused recruitment company specializing in the Intellectual Property (IP) legal market. We're looking for a proactive and professional India-based Virtual Assistant to help manage initial candidate engagement, set appointments, and keep our recruitment process running smoothly. You'll be the first point of contact for many candidates, helping us deliver a warm, efficient, and well-organized experience. Key Responsibilities Candidate Outreach & Scheduling: Contact candidates by phone or message to confirm interest and availability, then schedule them into the recruiter’s calendar. Initial Screening Calls: Conduct short intro calls using a script to gather basic information and assess fit (no deep technical screening required). Calendar Management: Coordinate time zones and avoid conflicts in recruiters’ diaries. Follow-Ups & Reminders: Send reminders and confirmations for scheduled calls or interviews. CRM & Recordkeeping: Update notes in the CRM or tracking system after each call or contact. Inbox Support (Optional): Assist with email organization and basic responses. Ideal Candidate Based in India and comfortable working during U.S. business hours (Eastern or Central Time) Excellent spoken and written English Confident phone manner – polite, clear, and professional Comfortable using tools like Google Calendar, Zoom, spreadsheets, and CRMs (training provided) Highly organized and detail-oriented Reliable internet connection and a quiet place to take calls What You’ll Get Fully remote work with flexible hours Steady role with room to grow as we scale Training and scripts provided – no recruitment experience necessary Opportunity to be part of a growing U.S. legal recruitment firm
