We are seeking an IT Systems Administrator to join our team — someone who will take ownership of core IT operations across our internal brands: Nisje, Foundous, Paloform, PMFI, as well as external clients. This role is ideal for someone with a solid technical foundation, a service-oriented mindset, and the ability to manage day-to-day infrastructure and support functions with discipline, precision, and care.
This is a hybrid role based in Trivandrum, Kerala. During the onboarding and provisional period, in-office presence will be required. Once your engagement is confirmed, the position allows for a flexible remote work arrangement while staying actively engaged with global teams and internal stakeholders.
Key Responsibilities
You will be responsible for the execution and maintenance of IT systems and services across the group. Your scope of work will include:
Device & System Lifecycle Management
- Ensure seamless setup, deployment, and configuration of laptops, phones, and workstations — primarily within a Mac-first environment (macOS, iPhones, iPads).
- Perform regular health checks and maintenance to keep all company-issued devices secure, up-to-date, and fully functional.
- Troubleshoot hardware/software issues and coordinate with vendors or external support when escalation is required.
- Maintain software compliance across systems by installing, updating, and managing applications in alignment with operational needs.
- Evaluate and recommend devices or upgrades based on role-specific requirements and emerging hardware standards.
Email Services Administration
- Configure and administer company-wide email systems across multiple domains and group entities, ensuring reliable and secure communication channels for all users.
- Manage user onboarding/offboarding, mailbox configurations, alias/group setups, and access control across email platforms.
- Monitor and troubleshoot issues related to delivery, sync, authentication, and email security (e.g., SPF, DKIM, MFA).
- Ensure effective email system hygiene, retention compliance, and spam/phishing prevention.
- Coordinate email-related transitions, such as migrations, integrations with third-party tools, or domain-level changes as needed.
- Act as the internal point of contact for all email-related queries, ensuring timely support and minimal disruption to business communication.
- Support setup and optimization of collaboration and productivity platforms (e.g., email clients, shared drives, calendars, internal messaging tools).
Security & Access Management
- Implement and monitor end-user security protocols to protect against threats such as phishing, malware, unauthorized access, and data loss across all connected systems.
- Manage access control across user accounts, systems, and cloud-based tools — including credential provisioning, role-based access, and deactivation protocols during offboarding.
- Collaborate with application owners to ensure admin-level applications (e.g., password managers, file storage platforms, business email systems) are securely configured and maintained.
- Administer and maintain VPNs, firewalls, and endpoint-level protections to support secure operations across remote and hybrid teams.
- Document IT usage policies and device security guidelines; promote awareness of best practices across the team.
- Ensure systems remain in alignment with organizational IT governance policies across geographies and business units.
- Assist in the preliminary investigation and reporting of IT incidents, coordinating with management and external support as needed.
Third-Party Software & License Administration
- Oversee the renewal lifecycle of all third-party software and SaaS tools, coordinating with relevant stakeholders to ensure uninterrupted service.
- Maintain detailed records of contract terms, renewal schedules, and licensing conditions, ensuring compliance with internal and external requirements.
- Work closely with department leads and the accounts team to align software needs with operational budgets and usage patterns.
- Provide advance alerts for upcoming renewals or expirations.
- Support internal planning on tool optimization, consolidation, or vendor relationship opportunities, including potential affiliate or value-added partnerships.
Domain & Hosting Administration
- Oversee the management of domain registrations and DNS configurations across internal brands and external client accounts, ensuring timely renewals and accurate records.
- Coordinate with internal teams and developers to evaluate, set up, and maintain reliable web hosting environments for both in-house and client-facing platforms.
- Provide operational support for hosting infrastructure, including basic server configurations, SSL setup, and service continuity checks.
- Assist in managing hosting-level backups and ensure hosting vendors meet uptime and performance expectations.
- Maintain an organized inventory of domains, hosting accounts, and associated credentials to support ongoing operations.
IT Asset Tracking & Audit Compliance
- Maintain a centralized inventory of all issued IT hardware and associated user access across departments and business units.
- Conduct periodic audits to validate device health, software licensing compliance, and adherence to internal IT policies.
- Support HR and finance teams during contractor transitions to ensure asset recovery and access revocation.
- Prepare audit-ready reports when required, contributing to security reviews and operational evaluations.
- Ensure remote and hybrid team setups remain compliant with company-defined infrastructure standards.
- Liaise with third-party IT vendors or service providers when escalations, warranty claims, or procurement needs arise.
- Maintain and share how-to documentation or internal support resources, helping team members navigate tools, troubleshoot common issues, and onboard smoothly.
Qualifications & Experience
Education & Eligibility
- Bachelor’s degree in Computer Science, Information Technology, Electronics Engineering, or a related field
Professional Experience
- 4–6 years of hands-on experience in IT systems administration or internal IT support
- Strong proficiency with macOS and iOS device management (laptops, iPhones, iPads); experience with MDM, encryption, and routine Mac maintenance is highly preferred
- Familiarity with cloud-based systems, email platforms, and server/network fundamentals (DNS, VPN, firewalls, SSL, web/email hosting)
- Demonstrated ability to manage SaaS tools, handle license renewals, and support end users across departments
- Bonus: Experience supporting international teams, especially in North America, and familiarity with IT frameworks like ITIL
Preferred Certifications
While not mandatory, the following certifications are considered an advantage and will strengthen your application:
- Apple Certified Support Professional (ACSP) or equivalent Apple/macOS device support certification
- CompTIA A+ or Network+ (or equivalent device/network support certification)
- ITIL Foundation or other IT service management certification
- Basic cloud or hosting certification (e.g., Azure Fundamentals, AWS Cloud Practitioner) would be a plus
Key Skills
- Technical Proficiency: Confident managing Mac-first environments.
- Infrastructure Knowledge: Comfortable with networking basics, hosting configurations, domain management, and email/server setups
- Security & Access: Strong understanding of endpoint protection, access provisioning, and secure system practices
- Documentation & Detail Orientation: Able to maintain clean records and create helpful guides for internal users
- Problem-Solving & Support: Solution-oriented, with the ability to troubleshoot independently and deliver reliable IT support
- Communication: Fluent in English; able to explain technical issues clearly to non-technical users and work effectively across global teams
- Time Management: Organized, self-driven, and able to prioritize IT support needs while managing multiple responsibilities
What We Offer
- Salary: up to INR 900,000 per annum, based on experience
