Omnicom’s branded networks and numerous specialty firms provide advertising, strategic media planning and buying, digital and interactive marketing, direct and promotional marketing, public relations, and other specialty communications services to over 5,000 clients in more than 70 countries.

About the Role

Finance and Administration

  • Support freelancer contract and payment administration in coordination with HR and Finance.
  • Coordinate freelancer timesheet collection and submission into AX.
  • Cross-reference invoices against timesheets; resolve accounts payable queries and issues with the Finance Manager.
  • Ensure accurate records are maintained for budget trackers, supplier information, and resource management.
  • Keep agency databases updated weekly to reflect current resource allocations and project assignments.
Operations and Resource Management

  • Manage IT requests, including system access, extensions, and freelance equipment allocation.
  • Cross-check and track annual leave and illness across creative resources, updating in Workfront (WF).
  • Book and maintain internal meetings, project bookings, and schedules within WF.
  • Run weekly utilisation breakdowns from WF for account leads.
  • Carry out weekly administration and data clean-up in WF and AX systems.
Traffic and Compliance Support

  • Induct freelancers onto the agency timesheet system and introduce finance processes.
  • Ensure own understanding of Agency Standard Operating Procedures (SOPs).
  • Monitor SOP compliance across Creative Services, flag issues, and provide constructive feedback.
  • Suggest improvements to processes and support colleagues in following correct procedures.

Background and Requirement

This may be the right role for you, if you have

  • Strong financial administration experience, ideally within a creative, agency, or project-based environment.
  • Familiarity with timesheet, finance, and resource management systems (AX, Workfront, or similar).
  • Excellent organisational skills and attention to detail.
  • Confident communicator, able to liaise effectively across Finance, HR, IT, and Creative teams.
  • Proactive problem solver with the ability to streamline processes and improve ways of working.
