Job Description

Role Purpose

The HR & Admin Manager will be responsible for building and implementing people and administration systems that support sustainable growth of the company. This role will define, document and implement HR policies and admin processes at a grassroot level – from office staff to shop-floor teams – ensuring smooth operations, legal compliance, and a positive, performance-driven culture.

Key Responsibilities

1. HR Strategy & Policy

  • Design and implement HR policies in line with management vision (e.g. working hours, leave, attendance, code of conduct, WFH/OD, travel, reimbursements, etc.).
  • Create SOPs and policy documents that are simple, clear and implementable at all levels (workers, engineers, managers).
  • Periodically review and update policies based on feedback, legal changes and business requirements.
  • Ensure communication of policies through inductions, trainings, notice boards, mailers and one-to-one sessions.

2. Talent Acquisition & Onboarding

  • Coordinate with department heads to understand manpower planning and hiring needs.
  • Prepare JDs, post jobs on portals, screen CVs, coordinate interviews and offer roll-outs.
  • Standardize onboarding process – joining formalities, documentation, ID cards, system access, induction on company culture, policies and safety.
  • Ensure smooth transition of new joiners in the first 90 days with regular check-ins.

3. HR Operations & Documentation

  • Maintain and update employee records – personal files, contracts, KYC, qualification, experience, confirmation letters, etc.
  • Manage attendance system (biometric/manual), leaves, weekly off, and prepare monthly attendance reports for payroll.
  • Coordinate with accounts/finance for payroll inputs, increments, incentives, variable pay and F&F settlements.
  • Draft HR letters – offer, appointment, confirmation, appraisal, warning, memo, separation, experience, etc.

4. Performance Management & Discipline

  • Help management design a simple and practical performance review system for all levels.
  • Track probation reviews, annual appraisals and performance improvement plans.
  • Support HODs in setting KRAs/KPIs and in giving structured feedback to team members.
  • Handle disciplinary issues in a fair and timely manner, aligning with company policies and labour laws.

5. Employee Engagement, Culture & Welfare

  • Act as a bridge between management and employees; maintain open communication and trust.
  • Plan and coordinate engagement activities – townhalls, birthday/anniversary wishes, festival celebrations, rewards & recognition programs, etc.
  • Ensure implementation of welfare measures – canteen/hygiene, drinking water, uniforms/PPE, transportation (if applicable), insurance, health camps, etc.
  • Create channels for feedback and grievance redressal and ensure timely closure.

6. Statutory Compliance (HR)

  • Ensure compliance with applicable labour laws and statutory requirements (PF, ESIC, Gratuity, Shops & Establishment / Factory Act, Bonus, etc.).
  • Coordinate with consultants/auditors for compliances, inspections and returns.
  • Maintain required registers, records and documentation as per law.

7. Administration & Facilities Management

  • Overall responsibility for office and factory administration, including:
  • Housekeeping, cleanliness and hygiene
  • Office supplies, stationery, pantry
  • Security & access control
  • Upkeep of office/factory premises, furniture and basic infrastructure
  • Coordinate with vendors for facility maintenance (HVAC, plumbing, electrical, pest control, etc.).
  • Manage travel, hotel, local transport and other admin support for employees and visitors.
  • Support in managing AMCs for office facilities (internet, CCTV, printers, etc.) and ensure renewals on time.

8. Systems, Processes & Implementation at Grassroot Level

  • Map existing HR/Admin processes and identify gaps, overlaps and bottlenecks.
  • Design simple, standardised checklists, forms and workflows for HR & Admin activities.
  • Drive implementation on the ground – train supervisors and line leaders on how to follow policies and processes.
  • Ensure discipline in compliance – regular audits of attendance, housekeeping, safety, policy adherence, etc.
  • Use tools like Excel/Google Sheets/HRMS for tracking and reporting.

9. Management Reporting

  • Prepare monthly HR–Admin MIS for management:
  • Headcount & attrition
  • Hiring status
  • Attendance, overtime & leave analytics
  • Training & engagement activities
  • Compliance status and critical issues
  • Present key insights and recommendations for improving culture, productivity and retention.

Desired ProfileQualifications

  • Graduate / Post-graduate in HR, Business Administration, or related field (MBA/PGDM in HR preferred).

Experience

  • 6–10 years of experience in HR & Administration, preferably in a manufacturing / engineering / projects environment.
  • Hands-on exposure to both HR (people) and Admin (facilities/office management).
  • Experience of setting up or formalising HR policies and systems in a small/medium-sized organisation is a strong plus.

Skills & Competencies

  • Strong understanding of HR fundamentals and Indian labour laws.
  • Excellent communication and interpersonal skills; comfortable interacting with workers, staff and management.
  • Process-oriented mindset with ability to convert ideas into SOPs, checklists and systems.
  • High integrity, confidentiality and fairness in dealing with people.
  • Problem-solving attitude; calm and balanced in handling conflicts and grievances.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and basic HRMS tools.
  • Ability to work independently, take ownership, and drive implementation on the ground.

Job Types: Full-time, Permanent

Pay: ₹40,000.00 - ₹60,000.00 per month
