Front Office Executive – School (Job Description)

Position Overview

The Front Office Executive is the first point of contact for students, parents, staff, and visitors. This role ensures smooth administrative operations, manages communication, and upholds the school’s reputation through professional and courteous service.

Key Responsibilities

1. Reception & Visitor Management

Greet parents, students, and visitors with professionalism.

Maintain a visitor logbook and issue visitor passes.

Guide visitors to the appropriate departments or personnel.

Ensure the reception area is clean, organized, and welcoming.

2. Communication Handling

Manage incoming calls and direct them to the concerned staff.

Respond to enquiries regarding admissions, school timings, events, etc.

Handle emails, letters, and official correspondences.

3. Student & Parent Support

Assist parents with admission forms, fee-related queries, and general information.

Help students with late entries, gate passes, and basic administrative needs.

Coordinate parent–teacher meeting schedules and announcements.

4. Administrative Tasks

Maintain daily attendance records (staff/student, depending on school process).

Support the academic and administrative departments with documentation.

Handle courier services, photocopying, filing, and distribution of circulars.

Manage stationary registers and office supplies.

5. Coordination & Event Support

Assist in planning and coordination of school events and functions.

Support the management team with data entry, communication, and logistics.

Collaborate with the transport, accounts, and academic teams as needed.

6. Safety & Compliance

Ensure only authorized individuals enter the school premises.

Follow emergency protocols and support crisis communication when required.

Skills & Qualities Required

Excellent communication skills (verbal & written).

Polite, patient, and approachable demeanor.

Good organizational and multitasking abilities.

Proficiency in MS Office (Word, Excel, Email).

Ability to handle pressure and manage a variety of tasks simultaneously.

Strong customer service orientation.

Job Types: Full-time, Permanent

Pay: ₹25,000.00 - ₹35,000.00 per month
