Position: Front Office Executive

Department:

1. Role Overview

Front Office Executive

2. Key Responsibilities

Reception & Visitor Management

  • Greet and assist visitors, clients, and vendors courteously.
  • Maintain a visitor register and ensure security protocols are followed.
  • Coordinate with relevant departments for visitor appointments.

Communication Management

  • Handle incoming calls, emails, and messages professionally.
  • Redirect queries to the appropriate department or individual.
  • Manage courier, mail, and parcel distribution efficiently.

Administrative Support

  • Maintain front desk cleanliness, stationery, and other office supplies.
  • Assist HR and Admin in scheduling interviews and meetings.
  • Support travel, accommodation, and meeting room arrangements.
  • Maintain attendance logs and employee movement registers if required.

Coordination & Reporting

  • Liaise with vendors (housekeeping, pantry, courier, etc.) for daily requirements.
  • Maintain records for visitors, courier logs, and petty cash if applicable.
  • Prepare and share weekly reports on reception and admin activities.

3. Required Skills & Competencies

  • Excellent communication and interpersonal skills.
  • Strong sense of professionalism, grooming, and customer service.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Ability to multitask and maintain confidentiality.
  • Pleasant personality with a positive attitude.

4. Qualification & Experience

  • Education:

    Graduate in any discipline (preferably B.A / B.Com / BBA).
  • Experience:

    1–3 years of experience in front office, administration, or reception role.
  • Language:

    Fluency in English, Hindi, and local language preferred.

5. Key Attributes

  • Well-presented, punctual, and reliable.
  • Organized and detail-oriented.
  • Ability to handle pressure and manage multiple priorities.
  • Strong coordination and follow-up skills.

6. Working Hours

  • Monday to Saturday: [9:30 AM to 6:30 PM]
  • Office-based role

7. Compensation

  • As per company standards and candidate experience.

8. Reporting To

  • Admin Manager / HR Head
