Position:

1. Role Overview

The Front Desk Executive will be the first point of contact for parents, visitors, and stakeholders. The role requires excellent communication skills, a pleasant demeanour, and the ability to manage front-office operations efficiently while maintaining confidentiality and professionalism at all times.

2. Key Responsibilities

A. Front Office Management

  • Greet and assist parents, students, visitors, and vendors in a courteous and professional manner.
  • Manage the front desk operations, including telephone calls, walk-ins, and enquiry handling.
  • Maintain the visitor logbook and ensure proper ID verification and gate pass issuance.
  • Direct visitors to the appropriate departments/staff members.

B. Communication & Coordination

  • Handle inbound and outbound calls, emails, and basic school communication.
  • Coordinate with academic and non-academic teams for scheduling meetings, PTMs, and appointments with the Principal/Management.
  • Share accurate information about school processes, admission procedures, and essential updates.

C. Administration Support

  • Support daily administrative tasks such as filing, documentation, photocopying, and maintaining office supplies.
  • Assist in managing student attendance records (if required).
  • Help the Admission Counselor with enquiries during peak admission seasons.

D. Record Management

  • Maintain updated records of visitor entries, parent communications, and front-office documentation.
  • Ensure data accuracy and confidentiality while handling sensitive information.

E. Event & School Support

  • Provide administrative support for school events, celebrations, and meetings.
  • Coordinate logistics for visitors, resource persons, and parent meetings.

3. Skills & Competencies Required

  • Excellent verbal and written communication skills (English and Hindi).
  • Strong interpersonal and customer service abilities.
  • Proficient in MS Office (Word, Excel, Outlook) and basic computer operations.
  • Ability to multitask, prioritize, and manage time effectively.
  • Presentable, polite, and confident personality.
  • High level of integrity, confidentiality, and professionalism.

4. Qualifications & Experience

  • Graduate in any discipline (preferred: Hospitality, Administration, or related fields).
  • 13 years of experience in front office operations; school experience preferred but not mandatory.
  • Familiarity with school ERP systems (e.g., Entab) will be an added advantage.
