Position Overview:

We are looking for a dynamic and professional Front Desk Receptionist & Assistant to the Director to join our team at our Viman Nagar office. This dual-role position requires an individual who can manage front office operations while also providing high-level administrative support to the Director. The ideal candidate will be well-organized, presentable, and able to handle responsibilities with discretion, efficiency, and attention to detail.

  • Key Responsibilities:

Front Desk & Administrative Duties:

  • Greet and welcome all visitors and clients with a positive and professional attitude.
  • Manage incoming phone calls and route them to the appropriate departments.
  • Maintain a clean, organized, and professional front office environment.
  • Handle mail, couriers, and deliveries; manage outgoing communication.
  • Coordinate meeting room bookings and visitor appointments.
  • Maintain visitor logs and ensure adherence to office security protocols.
  • Manage office supplies and coordinate with vendors for front office requirements.
  • Manage the Director’s daily calendar, schedule meetings, and coordinate appointments.
  • Arrange travel, accommodation, and logistics for official trips.
  • Prepare reports, documents, presentations, and meeting agendas as needed.
  • Handle confidential information with a high degree of discretion.
  • Assist in organizing internal meetings, reviews, and business events.
  • Follow up on tasks, meeting action points, and project timelines as directed.

Required Qualifications and Skills:

  • Bachelor's degree in any discipline (preferred).
  • 2–4 years of experience in front office operations or executive assistance.
  • Strong communication skills—both verbal and written.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
  • Excellent organizational and multitasking skills.
  • High level of professionalism and a customer service mindset.
  • Ability to handle confidential matters with integrity and discretion.
  • Pleasant personality, presentable appearance, and a proactive attitude.
