Job Description

As a Front Desk Executive (HR Assistance) at our Gurgaon HQ, you will play a crucial role in managing the front desk, office administration, and supporting the HR team in employee engagement activities. Your proactive and people-friendly approach will be key in creating a welcoming environment for clients, visitors, and employees. Key Responsibilities: - Greet clients, visitors, and employees with a professional and courteous demeanor. - Manage check-ins and visitor logs while ensuring security protocols are followed. - Efficiently answer and redirect calls to the appropriate personnel. - Coordinate meeting room bookings and ensure spaces are prepared for meetings. - Maintain a clean, welcoming, and organized reception area. - Resolve daily office issues such as Wi-Fi, maintenance, and admin supplies. - Coordinate with vendors and internal admin/facilities teams as needed. - Handle courier and delivery logistics including sorting, distribution, and pickups. - Manage office supplies and inventory in coordination with facilities or procurement. - Oversee day-to-day office operations to maintain a professional and efficient workspace. - Support interview coordination and onboarding in the absence of HR. - Assist the HR team in planning and executing employee engagement activities, celebrations, and internal events. - Coordinate logistics for engagement initiatives including venue setup, supplies, and communication. - Gather feedback and suggestions from employees to enhance engagement initiatives. - Maintain engagement calendars, attendance, and participation records. - Maintain detailed reports of office and HR activities for review and analysis. - Collaborate with vendors to ensure smooth delivery of services and supplies. Qualifications Required: - Strong interpersonal and communication skills with a professional yet approachable demeanor. - Highly organized, proactive, and hands-on with a problem-solving attitude. - Ability to multitask and manage time effectively in a dynamic environment. - Proficiency in tools like Google Workspace, Slack, and basic office systems. - Prior experience in a startup or fast-paced environment is a plus.
