Job Description

The Front Desk Executive is the first point of contact at the aesthetic clinic, responsible for delivering a professional and welcoming experience to all clients. This role involves managing client appointments, assisting with inquiries, supporting daily administrative operations, and ensuring a smooth and efficient reception area. 1. Greet patients and visitors with professionalism and warmth. 2. Manage appointment scheduling, cancellations, and follow-ups via phone, email, or in person. 3. Provide clinic information, treatment details, and assist clients in understanding procedures. 4. Address queries and resolve minor complaints or escalate when necessary. 5. Maintain an accurate and up-to-date appointment calendar using clinic software. 6. Manage patient registration, intake forms, and consent documentation. 7. Maintain records of patient visits and coordinate with the clinical team for client history. 8. Process payments, issue invoices/receipts, and manage daily cash register reconciliation. 9. Liaise with doctors, nurses, and therapists to ensure timely service delivery. 10. Confirm appointments, send reminders, and manage client waiting times efficiently. 11. Support inventory and retail product sales at the reception counter. 12. Keep the reception and waiting area neat, organized, and aligned with the clinic’s aesthetic. 13. Uphold clinic standards in grooming, behaviour, and customer service. 14. Promote ongoing offers, new treatments, or loyalty programs to patients. 15. Collect feedback and contribute to service improvement initiatives. 16. Proven experience in a customer-facing or administrative role, preferably in a clinic, spa, or hospitality industry. 17. Excellent communication and interpersonal skills. 18. Basic proficiency in Microsoft Office, Excel 19. Presentable, with attention to personal grooming and etiquette.
