The Facility Executive Soft Services is responsible for managing and ensuring high-quality delivery of all soft services within a commercial property. This includes housekeeping, security, landscaping, pest control, front-office services, mailroom operations, and waste management. The role ensures that the property remains clean, safe, professional, and compliant with organizational and industry standards.
Key Responsibilities
1. Soft Services Operations Management
- Oversee day-to-day operations of housekeeping, pantry, reception, security support, and other soft service functions.
- Ensure cleanliness and hygiene across all areas, including common areas, toilets, parking zones, and landscaped spaces.
- Monitor staff deployment and optimize resources for efficient service delivery.
- Ensure adherence to Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
2. Vendor & Manpower Management
- Manage outsourced vendors, ensuring they meet performance and grooming standards.
- Conduct daily briefings with vendor supervisors and staff.
- Track attendance, duty rosters, and shift scheduling.
- Escalate vendor non-compliance and assist in performance evaluations.
3. Quality Control & Compliance
- Carry out regular inspections and audits of all soft service areas.
- Ensure compliance with safety standards, hygiene protocols, and property management guidelines.
- Maintain documentation including checklists, audit reports, and monthly performance summaries.
- Support implementation of ISO/OSH and EHS standards if applicable.
4. Client & Stakeholder Coordination
- Serve as the primary point of contact for occupants and internal departments for soft services.
- Address complaints, resolve issues promptly, and ensure customer satisfaction.
- Coordinate with engineering, security, and property management teams for seamless operations.
5. Inventory & Material Management
- Manage housekeeping consumables, cleaning equipment, and pantry supplies.
- Monitor stock levels and initiate purchase requests in a timely manner.
- Implement cost control measures and track usage to avoid wastage.
6. Mailroom & Front Office Support
- Supervise mailroom operations, courier handling, and visitor management processes.
- Ensure reception staff follow professional communication and customer service standards.
7. Events & Occupant Support
- Assist in setting up conference rooms, meeting spaces, and common areas for corporate events.
- Coordinate special requirements with tenants and internal teams.
Qualifications & Skills
Education:
- Graduate in any discipline; Facility Management certification preferred.
- Hotel background will be a added advantage
Experience:
- 2–6 years of experience in facilities management (soft services) within commercial buildings, corporate offices, or tech parks.
- Experience handling vendors and large commercial properties is an advantage.
Skills:
- Strong communication and coordination skills.
- Good knowledge of housekeeping operations, cleaning equipment, and commercial building standards.
- Ability to manage vendors and monitor SLAs/KPIs.
- Problem-solving and decision-making abilities.
- Proficiency in MS Office and facility management software (CAFM/CMMS) preferred.
