Job Title: Facility Executive – Corporate Office

Department: Administration / Facilities Management

Reports To: Admin Manager

Location: T.Nagar Chennai

Employment Type: Full-time / On-site

Position Overview

The Facility Executive (Corporate Office) ensures the smooth and efficient operation of the organization’s office facilities. The role involves managing day-to-day facility operations, coordinating maintenance and office services, ensuring a safe and comfortable workplace for employees, and supporting the administration in vendor management and compliance activities.

Key Responsibilities1. Office Facility Operations

  • Oversee the daily operations of the office, ensuring a clean, safe, and efficient work environment.
  • Supervise housekeeping, security, front office, and pantry operations.
  • Monitor HVAC, electrical, plumbing, and lighting systems to ensure proper functioning.
  • Coordinate with IT and admin teams for workspace setups and moves.
  • Maintain inventory of office assets, furniture, and consumables.

2. Vendor and Service Provider Management

  • Manage relationships with external vendors such as housekeeping, security, pest control, maintenance, and cafeteria service providers.
  • Negotiate and renew contracts, monitor vendor performance, and ensure service quality.
  • Review and process vendor bills in line with budgets and agreements.

3. Maintenance and Safety

  • Schedule preventive and corrective maintenance for office infrastructure and equipment.
  • Conduct regular facility inspections to identify repair or improvement needs.
  • Ensure fire safety systems, access control, and emergency equipment are functional and compliant with regulations.
  • Support business continuity and emergency response plans.

4. Administrative Support

  • Assist in seating plans, space optimization, and coordination of office relocations or expansions.
  • Support procurement of office supplies, stationery, and maintenance materials.
  • Handle employee facility-related requests and provide quick resolutions.

5. Budgeting and Reporting

  • Support facility budgeting and cost tracking.
  • Prepare reports on maintenance activities, asset usage, vendor performance, and expenses.
  • Recommend cost-saving initiatives and process improvements.

Qualifications

Education:

  • Bachelor’s degree in Facilities Management, Business Administration, Engineering, or a related field.

Experience:

  • 2–5 years of experience in facilities management or office administration within a corporate setup.
  • Experience coordinating with multiple vendors and managing day-to-day facility operations.

Skills:

  • Strong organizational and coordination abilities.
  • Excellent communication and interpersonal skills.
  • Basic knowledge of building systems and safety standards.
  • Proficiency in MS Office and facility management tools (e.g., CAFM software).

Pay: ₹22,000.00 - ₹28,000.00 per month
