Executive Assistant – Job Description

Position Summary
The Executive Assistant (EA) provides high-level administrative support to senior executives, ensuring efficient operation of the office and enabling leadership to focus on strategic priorities. This role requires exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Administrative & Executive Support

  • Manage complex calendars, including scheduling meetings, appointments, and travel.
  • Screen and prioritize emails, calls, and correspondence on behalf of executives.
  • Prepare reports, presentations, meeting materials, and briefing documents.
  • Coordinate and organize internal and external meetings, including agenda preparation and follow-up notes.
  • Serve as the primary point of contact between executives and internal/external stakeholders.

Project & Operations Support

  • Support executive-level initiatives, deadlines, and project tracking.
  • Conduct research and compile information for decision-making.
  • Assist with strategic planning activities, including timelines, milestones, and documentation.
  • Coordinate cross-departmental communication to ensure smooth workflow.

Travel & Expense Management

  • Arrange domestic and international travel, including itineraries, accommodations, and logistics.
  • Process expense reports and maintain accurate financial documentation.
  • Ensure all travel and spending align with company policies.

Office & Communication Management

  • Maintain confidentiality of sensitive information.
  • Draft, edit, and proofread communications, memos, and announcements.
  • Support office operations, vendor coordination, and supply management as needed.

Qualifications:
Any Graduate

Required

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills; able to manage multiple priorities.
  • High level of professionalism, discretion, and judgment.
  • Proficiency with office software (e.g., Microsoft Office, Google Workspace, scheduling tools).

Preferred

  • Experience supporting C-suite or senior leadership.
  • Project management experience or certification.
  • Familiarity with CRM, workflow tools, or productivity software.
  • Bachelor’s degree in Business Administration or related field.
