Job Description

Key Responsibilities:

  1. Administrative

    Support

    :
    • Manage the executives calendar, scheduling appointments, meetings, and travel arrangements while ensuring optimal time management.
    • Prepare and organize documents, reports, and presentations for meetings and conferences.
  2. Communication

    Management

    :
    • Serve as the primary point of contact for internal and external communications, handling inquiries and correspondence with professionalism and discretion.
    • Draft, review, and edit correspondence, reports, and other documents as required.
  3. Meeting

    Coordination

    :
    • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
    • Ensure that all necessary materials and resources are available for meetings and presentations.
  4. Project

    Management

    :
    • Assist in managing special projects and initiatives as directed by the executive, ensuring timely completion and adherence to objectives.
    • Conduct research and compile data to support decision-making processes.
  5. Confidentiality

    and

    Discretion

    :
    • Handle sensitive information with confidentiality and integrity, maintaining the highest level of professionalism.
    • Ensure compliance with company policies and procedures regarding data protection and confidentiality.
  6. Office

    Management

    :
    • Oversee the day-to-day operations of the executive office, ensuring a well-organized and efficient work environment.
    • Manage office supplies and equipment, coordinating maintenance and procurement as needed.
  7. Relationship

    Management

    :
    • Build and maintain strong relationships with internal and external stakeholders, facilitating effective communication and collaboration.
    • Represent the executive in meetings and events as required, ensuring alignment with organizational goals.
  8. Travel

    Coordination

    :
    • Arrange travel itineraries, accommodations, and transportation for the executive, ensuring all travel plans are efficient and cost-effective.
    • Prepare travel expense reports and ensure timely reimbursement.
