Role Overview:

We are seeking a proactive, detail-oriented, and highly organized Executive Assistant to provide comprehensive support to our Director. The ideal candidate will be responsible for managing the Directors day-to-day administrative needs and effective time management. This is a high-visibility role requiring discretion, efficiency, and a strong sense of responsibility.

Role & responsibilities

1. Executive Support

  • Manage the Directors calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prioritize and coordinate incoming requests for the Directors time and attention.
  • Maintain and organize documents, files, and records in both physical and electronic formats.

2. Communication & Correspondence

  • Act as the primary point of contact between the Director and internal/external stakeholders.
  • Draft, proofread, and format professional correspondence, emails, reports, and presentations.
  • Ensure timely follow-ups and communication tracking.

3. Meeting Coordination

  • Prepare agendas, meeting briefs, presentations, and minutes.
  • Attend meetings when required, take detailed notes, and follow up on action items.

4. Travel & Logistics

  • Plan and organize domestic and international travel including flights, accommodations, itineraries, and visas.

6. Confidentiality & Discretion

  • Handle sensitive information with a high level of confidentiality and integrity.

Maintain professionalism in all dealings and represent the office of the Director with tact and discretion.

Preferred candidate profile

  • Bachelors degree from any stream
  • 5+ years of experience as an Executive Assistant or in a similar administrative role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or Google Workspace.
  • Excellent written and verbal communication skills.
  • Exceptional time management, organization, and multitasking abilities.
