Job Description

Job Summary:

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to the Director. The ideal candidate will manage daily activities, including scheduling meetings, handling correspondence, preparing reports and presentations, coordinating travel, and maintaining documentation.This role requires prior experience in a similar capacitypreferably within the chemical or related industryand the ability to perform effectively under pressure while maintaining a high level of professionalism, confidentiality, and efficiency.

Key Responsibilities:

  • Serve as the primary point of contact for the Director and liaise with internal and external stakeholders
  • Manage the Directors calendar, appointments, and meeting schedules efficiently
  • Plan and coordinate travel arrangements, itineraries, and logistics
  • Screen and prioritize incoming communications (calls, emails, letters) and respond or redirect appropriately
  • Draft, review, and edit correspondence, reports, and presentations
  • Coordinate executive meetings, conferences, and eventsincluding logistics, agendas, and minutes
  • Maintain an organized office filing system, records, and databases
  • Conduct research and analysis on industry trends, company developments, and relevant market updates to support informed decision-making
  • Track and monitor progress of special projects, ensuring timely completion and regular updates to the Director
  • Handle confidential and sensitive information with discretion and integrity
  • Collaborate with cross-functional teams to ensure smooth communication and workflow
  • Prepare cost estimates and assist in managing departmental budgets
  • Perform other duties as assigned by the Director


Required Skills and Competencies

:
  • Proficiency in Microsoft Office Suite and other productivity tools (eg, Outlook, Excel, PowerPoint, calendar tools)
  • Excellent verbal and written communication skills
  • Strong organizational, multitasking, and time management abilities
  • High attention to detail and accuracy
  • Ability to work independently with minimal supervision
  • Strong problem-solving and decision-making skills
  • Proven ability to maintain confidentiality and act with discretion
  • Familiarity with chemical industry standards, regulations, and best practices is preferred
