Job Description

Role Overview: As an Executive Assistant, you will be responsible for managing and maintaining executive calendars, prioritizing meeting requests, drafting and managing correspondence, organizing meetings and events, arranging travel logistics, providing administrative support, assisting with special projects, overseeing office supplies and equipment, and maintaining relationships with internal and external stakeholders. Your role will be crucial in ensuring the efficient operation of the executive office. Key Responsibilities: - Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements. - Prioritize and coordinate meeting requests to optimize the executive's time. - Draft, proofread, and manage correspondence such as emails, letters, and reports. - Act as a liaison between the executive and internal/external stakeholders. - Organize and coordinate executive meetings, conferences, and special events. - Prepare agendas, take minutes, and follow up on action items. - Arrange travel logistics including flights, accommodations, and transportation. - Prepare detailed travel itineraries and ensure all arrangements are in place. - Perform various administrative tasks such as filing, record-keeping, and office management. - Handle confidential information with discretion and maintain a high level of professionalism. - Assist with special projects and initiatives as directed by the executive. - Conduct research, compile data, and prepare reports or presentations. - Oversee office supplies and equipment to ensure efficient office operations. - Liaise with other departments and manage relationships with service providers. Qualifications Required: - Proven experience as an Executive Assistant or similar role. - Excellent communication and organizational skills. - Strong attention to detail and ability to prioritize tasks effectively. - Proficiency in MS Office applications. - Ability to handle confidential information with discretion. - Strong interpersonal skills and ability to interact with stakeholders at all levels.
