Job Title : Executive Assistant to the CEO Location : Noida Shift : 3pm - 12am Department : Executive Team Reports to : CEO Position Overview :We are seeking an experienced and highly organized Executive Assistant to provide high-level administrative support to the CEO. The ideal candidate will act as a trusted partner to the CEO, managing their schedule, communications, and key business operations while ensuring the smooth running of day-to-day activities. This is a fast-paced and dynamic role requiring exceptional communication skills, confidentiality, and the ability to anticipate needs and manage multiple priorities. Key Responsibilities : Calendar and Schedule Management : Proactively manage the CEOs calendar by scheduling meetings, conferences, and travel arrangements, ensuring there are no scheduling conflicts and that time is effectively allocated. Travel Coordination : Plan and organize complex domestic and international travel, including flights, accommodations, and transportation, while ensuring smooth transitions and efficiency. Communication Liaison : Act as the primary point of contact between the CEO and internal/external stakeholders, handling incoming communications, inquiries, and emails in a timely manner. Meeting Preparation and Support : Prepare materials for meetings, briefings, presentations, and reports. Attend meetings to take notes, follow up on action items, and ensure follow-through. Confidentiality Management : Handle sensitive and confidential information with discretion and professionalism, maintaining trust and integrity at all times. Event and Project Coordination : Assist in coordinating company events, board meetings, and special projects as assigned by the CEO. Ensure all logistics are meticulously handled. Research and Analysis : Conduct research on relevant topics, competitors, industry trends, and other areas as directed by the CEO to support decision-making and strategic planning. Task and Deadline Management : Help the CEO prioritize tasks, manage deadlines, and ensure that critical deliverables are completed on time. Cross-Departmental Collaboration : Work closely with other members of the executive team, as well as with departments across the company, to ensure efficient communication and collaboration. Qualifications : Bachelor's degree in Business Administration, Communications, or a related field (preferred). Minimum of 5 years of experience supporting senior executives, preferably in a fast-paced corporate or startup environment. Exceptional organizational and time-management skills with the ability to handle competing priorities. Strong written and verbal communication skills, with the ability to interact professionally with stakeholders at all levels. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools. Strong attention to detail and problem-solving skills. Ability to maintain a high level of professionalism and confidentiality. Experience managing complex travel, schedules, and logistics. Proactive, resourceful, and able to work independently with minimal supervision. Physical Requirements : Ability to work in a fast-paced, dynamic environment. Must be able to sit at a desk for extended periods. Occasional travel may be required.
