Job Description: We are seeking a dynamic and highly organized Executive Assistant to support our CEO/MD in managing day-to-day operations and driving strategic goals. The ideal candidate will be proactive, efficient, and have excellent communication and organizational skills. As the Executive Assistant to the CEO/MD, you will play a crucial role in managing the executives schedule, coordinating meetings, and handling sensitive communication, all while ensuring seamless office operations. Key Responsibilities: Manage CEO’s Calendar: Organize and prioritize the CEO’s schedule, ensuring efficient use of time for meetings, presentations, and strategic planning. Coordinate Meetings: Schedule and coordinate internal and external meetings, prepare agendas, and ensure all necessary resources are available. Handle Communication: Serve as the point of contact for internal and external communications on behalf of the CEO, including emails, phone calls, and messages. Organize Travel: Arrange travel plans, including flights, accommodations, and ground transportation, optimizing the CEO’s schedule and comfort. Research & Report Preparation: Conduct research on industry trends and competitors, and prepare insightful reports to support decision-making. Presentation Support: Assist in creating and preparing presentations, ensuring smooth delivery and technical setup for key meetings. Maintain Confidentiality: Handle sensitive company information with discretion and maintain confidentiality in all aspects of the role. Office Operations: Oversee administrative tasks including office supplies, facilities management, and general office organization. Liaise with Stakeholders: Act as a liaison between the CEO and key internal/external stakeholders, facilitating smooth communication and collaboration. Expense Management: Manage the CEO’s expense reports and assist with budgeting for various projects and operations. Required Skills & Qualifications: Proven experience as an Executive Assistant or in a similar administrative role. Strong organizational and time-management skills. Excellent written and verbal communication skills. Discretion and the ability to handle confidential information. Proficiency in MS Office Suite (Excel, Word, PowerPoint). Ability to work under pressure and meet deadlines. Proactive, detail-oriented, and able to prioritize tasks effectively.
