Job Description

Responsibilities Calendar Management: Manage and maintain complex calendars, scheduling meetings, appointments, and conference calls. Prioritize and resolve scheduling conflicts effectively. Ensure executives are prepared for upcoming meetings with necessary materials and briefings. Travel Coordination: Arrange domestic and international travel, including flights, accommodations, transportation, and visas. Prepare detailed itineraries and travel documents. Manage travel expenses and reimbursements. Correspondence and Communication: Screen and direct phone calls, emails, and mail. Draft and prepare correspondence, presentations, and reports on behalf of executives. Manage internal and external communications, ensuring timely and accurate information flow. Administrative Support: Provide general administrative support, such as filing, photocopying, scanning, and data entry. Manage expenses and process invoices. Maintain office supplies and equipment. Meeting and Event Planning: Assist in planning and coordinating meetings, conferences, and events. Prepare meeting materials and agendas. Take minutes and distribute meeting summaries. Confidentiality and Discretion: Maintain the highest level of confidentiality and discretion regarding sensitive information. Handle confidential documents and communications with utmost care. Qualifications Experience: Executive Assistant or a similar role supporting senior-level executives. Skills: Exceptional organizational and time management skills. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to work independently and as part of a team. Excellent interpersonal skills and professional demeanor. Ability to maintain confidentiality and discretion. Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
