Role & responsibilities We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Managing Director (MD). The ideal candidate will have a solid technical foundation with a B.Tech in Chemical Engineering/ Mechanical, coupled with strong financial acumen from an MBA in Finance. This role will require a balance of administrative duties, project coordination, financial analysis, and strategic support. Preferred candidate profile Executive Support: Manage the MDs calendar, schedule appointments, and coordinate meetings and events. Screen and prioritize incoming communication (calls, emails, messages) and respond on behalf of the MD when required. Prepare and proofread documents, reports, presentations, and other materials for meetings and presentations. Maintain confidentiality of sensitive information and handle confidential files with discretion. Project Management & Coordination: Assist in managing cross-functional projects, particularly those involving both technical and financial elements. Ensure timely execution of ongoing projects, tracking milestones and deliverables. Collaborate with the MD and relevant departments to ensure efficient project execution, particularly those related to chemical engineering processes and financial targets. Financial Analysis & Reporting: Assist the MD in preparing financial forecasts, budget reports, and performance analysis. Support in reviewing financial statements, tracking expenditures, and managing operational budgets. Prepare financial presentations and analyses to support decision-making and strategy formulation. Stakeholder Management & Communication: Act as a liaison between the MD and internal/external stakeholders, ensuring smooth and effective communication. Coordinate with senior leadership, departments, clients, and vendors to facilitate key business activities. Manage communications and inquiries, ensuring prompt responses and action as required by the MD. Event and Travel Management: Organize business travel arrangements for the MD, including booking flights, accommodation, and itineraries. Organize corporate events, meetings, conferences, and seminars, ensuring all logistics are efficiently coordinated. Documentation & Reporting: Prepare and maintain up-to-date business and financial documentation for easy access and reference. Organize and manage data, ensuring accurate reporting and documentation. Prepare regular reports on business performance, project status, and key financial data for the MDs review. General Administrative Duties: Handle day-to-day office management tasks, including procurement, inventory management, and coordination of office supplies. Organize and maintain files and records, ensuring they are easily accessible and organized. Required Skills & Qualifications: Education: B.Tech in Chemical Engineering/ Mechanical and an MBA in Finance from a reputed institution. Experience: 2 to 5 years of experience as an Executive Assistant, preferably in a corporate environment. Technical Skills: Strong understanding of chemical engineering concepts and processes, with the ability to translate technical information into actionable business insights. Financial Acumen: Ability to understand and analyze financial statements, reports, and budget data. Communication Skills: Exceptional verbal and written communication skills to effectively interact with senior management, teams, and external stakeholders. Organizational Skills: Strong ability to prioritize and manage multiple tasks, with attention to detail and accuracy. Software Skills: Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with project management tools (e.g., Asana, Trello).
