Role Description


We are looking for a proactive, highly organized, and versatile Executive Assistant & Office Administrator to support our Managing Director. This role is not limited to traditional EA responsibilities but extends to administration, HR support, and day-to-day office coordination. The ideal candidate should be adaptable, resourceful, and willing to take on a wide variety of tasks as required.


Key Responsibilities:


Executive Support

Manage the Managing Director’s diary, email handling, and scheduling of appointments/meetings.

Proactively identify and resolve conflicting meetings, prepare in advance, and ensure timely reminders.

Exercise absolute confidentiality while handling sensitive information and documentation.

Support leadership meetings and other key committees with agenda preparation, coordination, and follow-ups.

Administration & Office Management

Handle day-to-day office administrative tasks to ensure smooth functioning.

Assist in vendor coordination, office supplies, travel bookings, and facility management.

Deliver excellent service to both internal and external stakeholders, ensuring professionalism in all interactions.


HR Support


Provide administrative assistance to the HR Manager in day-to-day activities.

Support HR in onboarding, documentation, employee engagement, and coordination tasks.

Maintain records and assist in compliance-related documentation as needed.

General Support

Adapt to changing priorities and multitask effectively.

Take ownership of ad-hoc projects and additional responsibilities beyond the defined role.


Qualifications & Skills


Bachelor’s degree in Business Administration, Management, or a related field (preferred).


2–5 years of experience as an Executive Assistant, Administrative Assistant, or in a similar role.


Strong organizational and multitasking abilities with attention to detail.


Excellent communication and interpersonal skills.


Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).


Ability to work under pressure, meet deadlines, and handle confidential information.


Flexible, solution-oriented, and open to handling multiple responsibilities across functions.
