We’re hiring a hyper-organized. Executive Assistant who can transform that whirlwind into a disciplined operating system, freeing the CEO to stay in “vision & deals” mode while you keep the trains running on time. Companies he runs: Climate Tech, Software Development, Ethnic Wear + multiple apps. What you’ll own Founder Operations Strategically gate-keep and curate the CEO’s calendar, inbox, and travel; protect deep-work blocks. Draft, polish, and proof decks, memos, board updates, and investor comms. Triage inbound requests; decide what moves forward, what delegates, and what dies. Project & OKR Management Convert brainstorming sessions into structured plans in Notion/Asana; track actions, owners, and deadlines. Run weekly stand-ups, chase blockers, and deliver status dashboards by Monday 09:00 IST. Business & Market Intelligence Produce rapid research briefs on competitors, regulations, or prospective partners (20 min, 2 hr, 2 day formats). Build quick ‘back-of-the-envelope’ financial models or SWOTs to support go/no-go calls. Stakeholder Hub Prepare briefing notes for high-stakes meetings; capture minutes with clear A-I-R (Action, Owner, Deadline). Maintain warm touch-points with investors, CXOs, government officials, and key partners. Process Engineering Design and document SOPs for recurring workflows—then automate low-value steps using AI (Zapier, GPT). What success looks like (first year) KPI: Target CEO calendar aligned to top 3 company priorities≥ 90 % of working hours Actionable minutes logged within 24 h≥ 95 % of meetings Inbox to decision latency≤ 24 h Documented process improvements≥ 1 per quarter Internal stakeholder NPS8 / 10 or higher Must-have profile 5-8 years supporting a founder, C-suite exec, or as Chief-of-Staff in a high-growth tech, consulting, or PE/VC environment. Business & financial literacy (BBA/MBA or equivalent hands-on experience)—you can read a term sheet or build a simple P&L. Master of Notion, Asana, Google Workspace, Excel/Sheets, and AI productivity tools (Zapier, Make, GPT prompts). Exceptional verbal & written English, concise, persuasive, typo-free. Pune-based (or willing to relocate) with the flexibility to travel on short notice. High-EQ gatekeeper who can push back diplomatically and handle confidential data with zero leaks.
