Job Description

  • A Document Executive manages, organizes, and maintains an organization's documents and records to ensure accuracy, compliance, and accessibility. Key responsibilities include creating, updating, and filing documents, liaising with other departments, ensuring compliance with legal and regulatory requirements, and safeguarding confidential information. Strong organizational and communication skills, attention to detail, and proficiency with document management systems are essential for this role. Core responsibilities
  • Document creation and management: Draft, review, and update various documents. Maintain and organize physical and electronic filing systems.

  • Organizational skills: The ability to manage multiple tasks, maintain organized systems, and pay close attention to detail.
  • Communication skills: Strong verbal and written communication is crucial for drafting documents and liaising with other departments.
  • Technical proficiency: Competency in document management systems and software, such as the Microsoft Office Suite.
  • Analytical skills: The ability to analyze information and solve problems related to documentation processes.
  • Education: A high school diploma is often the minimum requirement, with a bachelor's degree in fields like business administration or library science being advantageous.
  • Experience: Previous experience in a similar administrative or document management role is beneficial.
  • Record keeping: Ensure all company and client records are maintained accurately and securely.
  • Compliance: Guarantee documents comply with all legal and regulatory requirements. This can include specific industry or export compliance documents.
  • Coordination: Liaise with other departments to facilitate the flow of information and assist with document-related queries.
  • Information retrieval: Process requests for information and retrieve documents as needed for internal or external use.
