Job Description

Key Responsibilities:

1. Billing & Invoicing

  • Generate and verify invoices based on dispatch records, delivery notes, and client agreements.
  • Ensure all billing information is accurate, complete, and in compliance with company policies.
  • Maintain records of all invoices, receipts, and credit/debit notes.
  • Coordinate with the accounts department for timely billing and payment follow-ups.

2. Dispatch Coordination

  • Cross-check delivery challans, transport documents, and proof of delivery (POD) before billing.
  • Maintain communication with dispatch and warehouse teams to ensure correct shipment details.
  • Resolve discrepancies between dispatch and billing data promptly.

3. Documentation & Reporting

  • Maintain a daily log of dispatches and billing status.
  • Prepare periodic reports on billing, outstanding payments, and dispatch accuracy.
  • Ensure proper documentation and filing for audit and compliance purposes.

4. Client Communication

  • Share invoices and billing summaries with clients as per schedule.
  • Handle billing-related queries and resolve disputes in coordination with relevant teams.
  • Support customer satisfaction through accurate and transparent billing.

Required Skills & Qualifications:

  • Bachelor’s degree in Commerce, Accounting, Business Administration, or related field.
  • 1–3 years of experience in billing, dispatch coordination, or logistics accounting.
  • Strong knowledge of invoicing processes and financial documentation.
  • Proficiency in MS Excel and ERP/accounting software (e.g., Tally, SAP, Zoho Books).
  • Attention to detail and strong analytical skills.
  • Good communication and coordination abilities.

Preferred Qualifications:

  • Experience in logistics, manufacturing, or distribution industry.
  • Knowledge of GST, transport documentation (e.g., e-way bills), and dispatch procedures.
  • Ability to handle high volumes of billing transactions with accuracy.
