Collection Specialist

About the Role

We are looking for a Rent Collection & Customer Executive with a strong background in customer communication, rent analysis, and accounting. The role involves handling end-to-end rent collection, tenant coordination, and data analysis for our UK-based property portfolio.
The ideal candidate will have excellent analytical and mathematical skills, professional communication ability, and hands-on accounting knowledge to manage rent inflows and reporting with accuracy and integrity.

Key Responsibilities

• Rent Collection & Coordination:

Manage day-to-day rent collection and follow-up with tenants through calls and emails in a professional, courteous, and business-like manner.

• Analytical Review:

Analyse rental data, lease agreements, and financial documents to ensure accurate billing, correct rent values, and identify discrepancies or missing payments.

• Invoice Management:

Create, review, and send rent invoices to tenants; maintain payment records and ensure timely reconciliation with bank statements.

• Tenant Communication:

Draft professional and concise email correspondence with international tenants and clients; maintain a high standard of English and customer etiquette.

• Accounting Support:

Assist in posting rent receipts, reconciling accounts, and preparing rent schedules, outstanding reports, and rent-ledger summaries.

• Document Understanding:

Review tenancy agreements, rent apportionment documents, and other property-related contracts to validate rent details.

• Reporting & Analysis:

Prepare periodic reports on rent collection, arrears, and income performance; provide insights to management for decision-making.

Key Skills & Attributes

• Strong mathematical and analytical skills – confident with rent calculations, pro-rata, VAT, and data analysis.
• Excellent communication skills (verbal and written) – capable of speaking with international tenants and clients.
• High professionalism in tone, language, and conduct while communicating over calls or emails.
• Hands-on experience in invoice creation and reconciliation using Excel or accounting software (Tally / QuickBooks / Business Central preferred).
• Ability to interpret financial and lease documents accurately.
• Proactive, sincere, and go-getter attitude with ownership of tasks and deadlines.
• Strong attention to detail and capability to manage multiple tenant accounts simultaneously.

Preferred Qualifications

• Bachelor’s degree in Accounting, Commerce, Finance, or Business Administration.
• 4-5 years of experience in rent collection / property accounting / international voice process / customer finance operations.
• Prior experience handling UK or international clients will be an added advantage.
• Proficiency in MS Excel and familiarity with ERP or accounting tools.
