About Equilibrium: Equilibrium is a carbon removal company at the forefront of developing nature-based carbon removal projects in the Global South, each guided by our three core pillars high-integrity, high-quality, and high-impact. We are seeking a highly competent and driven individual to join our team as an Administrative Assistant. Role Overview: We are seeking a proactive and detail-oriented Administrative Assistant to provide comprehensive support across logistics and office administration. This role plays a critical part in ensuring operational efficiency, supporting field teams, and enabling smooth coordination with internal and external stakeholders. Key Responsibilities: Responsibilities will include, but may not be limited to the following: Provide day-to-day administrative assistance to the teams.. Oversee smooth functioning of office operations, including managing supplies and ensuring upkeep of office equipment. Maintain internal databases, digital filing systems, and shared documentation platforms. Assist in compiling operational reports, and key documentation. Arrange travel, transportation, and accommodation for staff. Coordinate logistics for donor, investor, and stakeholder visits, ensuring seamless on-ground support. Manage shipment and delivery of materials, equipment, and project documentation. Maintain accurate records of all logistical activities, timelines, and tracking logs. Support onboarding and coordination of vendors, partners, and service providers. Collect and maintain quotations, invoices, and vendor documentation. Assist with purchase orders, payment processing, and basic expense tracking. Oversee distribution, tracking, and maintenance of company assets (e.g., laptops, devices, field equipment). Maintain an updated asset inventory and ensure accountability across teams. Coordinate repairs, replacements, and asset retrievals during onboarding and offboarding. Ideal Candidate Profile: We are seeking a high-caliber individual with: 3-5 years of experience in administrative, logistics, or operations support roles. Strong organisational and multitasking skills with attention to detail. Excellent communication skills in English; knowledge of kannada is a plus. Proficiency in Microsoft Office and/or Google Workspace. Familiarity with tools like Zoho and Razorpay is an advantage. Ability to handle confidential information with discretion.
